TechnoServe, an international nonprofit organization, is seeking a Shared Services Coordinator in our US Headquarters, located in Arlington, VA. This is a full time (40 hour/week) hybrid position, and the Coordinator will be expected to work from the office 3-4 days per week. The Coordinator will be eligible for benefits as of their first day including exceptional medical and dental coverage, generous PTO and 401K contributions.

Job Summary:

The Shared Services Coordinator provides an array of administrative services including event planning, travel and expense support to members of the executive team (apart from the CEO) and logistics for the HQ office including supplies, mail, and coordination with building management.

The Shared Service Office Coordinator reports to an HR Director.

Primary Functions & Responsibilities:

Executive Support:



  • Arrange travel, including relatively complex international itineraries and travel visas
  • Complete and track online expense reports
  • With logistics around events, including booking hotels, conference rooms, and catering, as needed
  • Help schedule multi-stakeholder meetings, upon request
  • Obtain notarizations-preferably by obtaining or maintaining a notary license-and help apostille documents
  • With other business-related tasks, as needed


Office Logistics:



  • Coordinating with building management and logging and tracking service requests
  • Sorting incoming mail / packages and helping with outgoing shipping needs
  • Tracking kitchen supplies (such as coffee, paper towels, utensils) and proactively ordering replenishments as needed
  • Ordering general office supplies (paper, pens, etc.) and custom items (business cards, furniture)
  • Managing voicemails received into main office phone line and tracking our general TNS inquiries e-mailbox and routing inquiries internally
  • Helping to organize catering for in-office meetings and events, as requested
  • Helping to keep common areas tidy and clutter-free
  • Helping set-up and troubleshoot conference room audio/visual equipment and connections
  • Proactively liaising and coordinating activities with the CEO's executive assistant
  • Other duties as assigned


Basic Qualifications:



  • Bachelor's Degree or 2 years of related experience
  • Ability to lift / move boxes or materials weighing up to 20 pounds
  • Ability to use standard office equipment and desktop applications with minimal training / assistance
  • Fluent English and existing authorization to work in the US


Knowledge, Skills and Abilities:



  • Customer service orientation and proven reliability and follow-through
  • Ability to troubleshoot situations calmly and effectively
  • Ability to work independently to complete tasks, but also able to work on a team
  • Ability to communicate clearly and in a culturally sensitive manner
