Job Summary

The Fleet Coordinator is responsible for ensuring that the vehicle fleet is in a constant state of readiness and that adequate equipment and supplies are available/on hand to ensure vehicle readiness and safety. Maintains documentation/records pertaining to vehicles and drivers, including vehicle inventory, maintenance records, costs per vehicle/mile, accidents, and driver training. Utilizing fleet tracking software, monitors and schedules preventative maintenance and repairs. Validates cost-effective purchases and sources vehicle parts, mechanic shop supplies, and all other necessary fleet needs. Manages the fleet fuel card system, including adding and removing drivers and issuing PINs. Coordinates with supply chain on all vehicle purchases and allocates resources based on need.

  • Manages the hospital's vehicle fleet to include tracking vehicle inventory, monitoring and scheduling preventative maintenance and repairs, and scheduling of bodywork.

  • Maintains documentation/records pertaining to vehicles and drivers, including vehicle inventory, maintenance records, costs per vehicle/mile, and accidents. Compiles monthly reports.

  • Validates cost-effective purchases and sources vehicles, vehicle parts, mechanic shop supplies, motor oil, and other fluids, and all other necessary fleet needs. Coordinating with other departments allocates resources based on need. Disposes of vehicles as required.

  • Manages the fleet fuel card system, including adding and removing drivers and issuing PINs. Monitors fuel usage and identifies fraud and abuse.

  • Manages all fleet software and technology to include Samsara and Cradle Point.

  • Tracks vehicle costs and creates invoices. Processes invoices for expense allocation and submits to A/P for payment.

  • Coordinates with HR and other departments to ensure completion of all driver requirements, including background checks and driver training.

  • Ensures compliance with all State, Federal, and Hospital policies pertaining to vehicle operations and repairs.

  • Works with treasury to make sure all vehicles are on the Prisma Health Fleet insurance program.

  • Performs other duties as assigned.

Supervisory/Management Responsibilities

This is a non-management job that will report to a supervisor, manager, director, or executive.

Minimum Requirements

  • Education - High School diploma or equivalent OR post-high school diploma/highest degree earned

  • Experience - Two (2) years vehicle maintenance or supply chain experience

Valid Driver's License and an acceptable vehicle record as defined by the Acceptable Motor Vehicle Record (MVR) Chart.
