Overview

The Senior Client Support Specialist ensures the accuracy for CIR's prior to approval so timecards, billing and AR run more efficiently. This role also handles billing for new customers with complex billing until a process is developed.



Responsibilities

Primary Responsibilities:

CIRs:

    Review and update CIRs to ensure billing accuracy and approve for processing.
  • Confirm rates in CIRs with Vendor Management Systems.
  • Track client billing information, including pay terms, discounts, and workweek details.
  • Resolve discrepancies between CIRs and invoices.

Timecard Support:

  • Collaborate with the Timecard Supervisor bi-weekly to address missing timecards and investigate necessary approvals.
  • Set up and train new clients on VMS platforms.
  • Support clients during the initial billing setup process.

Specialized Billing:

  • Enter hours for specific clients and ensure accuracy in reporting.
  • Match weekly reports for compliance and accuracy.

Complex Client Billing Processes:

  • Manage special client billing needs, developing efficient processes and transitioning them to the billing team.
  • Submit hours and generate invoices for unique client placements as a backup.

Professional Development and Additional Responsibilities:

  • Stay current on industry trends and best practices through research and training.
  • Continuously develop relevant skills to support professional growth.
  • Perform other tasks and duties as assigned by management.

Qualifications

Experience Requirements:

  • High School Diploma or equivalent (required).
  • Minimum 4 years of experience in administrative services (required).
  • 2 years of experience as a Client Support Specialist (preferred).
  • Proficient in Microsoft Word, Excel, and database management systems.
  • Experience utilizing Vendor Management Systems or similar technologies.
