Job Summary |
This position is an integral part of our academic services team and provides administrative support to the Mechanical Engineering graduate program. The position is the main point of contact for graduate/recruitment activities and participates in graduate recruitment events in and out of the region, in addition to creating new recruiting resources, maintaining a recruitment database, and informing prospective graduate students and the public on eligibility for admission and program requirements. Some evening/weekend hours and travel are required.

Minimum Education and Experience |
Bachelor's degree or an equivalent combination of education and experience. Four or more years of administrative office experience in an academic environment. Excellent computer skills with various programs and ability to work with specialized databases. Outstanding customer service skills. |
Preferred Education and Experience |
Experience in graduate student recruitment preferred. Strong computer skills with proficiency in Microsoft Office Suite, particularly Access and Excel. Excellent communication skills and initiative. Good attention to detail and strong organizational skills. |
Essential Duties and Responsibilities |
- Serves as department liaison for prospective graduate students.
- Assists graduate committee with processing applications for graduate admission.
- Responsible for ensuring the accuracy and adequacy of student academic records.
- Prepares and disseminates information relative to admission, scholarship, and financial aid to prospective graduate students in an ethical manner to ensure confidentiality and FERPA compliance.
- Answers routine correspondence concerning inquiries on graduate program.
- Explains policies and procedures and informs students of upcoming deadlines.
- Assists with tracking funding opportunities for new graduate students.
- Provides statistical reports for a graduate program.
- Maintains electronic files, statistics, and databases on graduate students and applicants.
- Develops and implements recruitment strategies for graduate program.
- Creates recruiting resources, maintains recruitment database, and participates in graduate recruitment events in and out of the region.
- Assists students enrolled in the graduate program with course registration.
- Interacts frequently with university students, faculty, staff, and outside agencies.
- Represents the graduate program to the Office of Admission and Enrollment.
- Responsible for ensuring compliance with institutional rules, regulations, and procedures.
- Coordinates recruitment travel schedule and maintains accurate records of all expenses.
- Performs related duties as assigned.

Remote Work Notice: Following successful completion of an initial training period, a hybrid work schedule may be available, subject to business needs and departmental approval. Employees must be located within the Dallas/Fort Worth Metroplex area and have the ability to be on campus for work activities as scheduled and/or with 24-hour notice. Completion and approval of a UT Dallas Remote Work Agreement will be required, and use of personal computer, internet, and other standard equipment may be required. Remote work arrangements are subject to regular review and re-approval and may be canceled.
