Assistant to the Director

The Department of Residence Life welcomes applications for the Assistant to the Director position at the University of Pittsburgh. This role is critical to the overall success of the department and we are seeking a highly-skilled administrative professional to join our team. Applicants should have skills to work both as part of a team and in an independent manner, and who enjoy working in an educational environment. This role provides support not only to the director but the overall success of the department.

Ideal candidate has three to five years related work experience; experience as a staff member in an office environment; must be able to function professionally and confidentially in a fast-paced environment. Bachelor's degree or Business School degree preferred. Computer literacy is a must (knowledge of Word, Excel, PowerPoint, Access, Microsoft Windows, Microsoft Teams, Outlook). Excellent communication skills (oral and written) are required.


Job Summary

Performs administrative assistant support work of moderate complexity.


Essential Functions

Performs executive/administrative tasks for the Director of Residence Life at a highly skilled and professional level. Handles administrative tasks/responsibilities in a manner that relieves the Director of administrative details and highly administrative tasks. Works independently to manage multiple tasks and takes initiative to troubleshoot and provide solutions. Duties must be executed in a professional and confidential manner at all times. Must have excellent written and oral communication skills.

Duties include but are not limited to:

  • Responds to departmental inquires, requests, and urgent situations in a timely manner.
  • Drafts, edits, and proofreads reports, project materials, correspondence, and documents for accuracy, completeness, and compliance with departmental, divisional, and University policies; manages internal and external correspondence.
  • Collaborates with Central Residence Life Office staff and provides support to departmental initiatives and programs.
  • Maintains scheduling and calendar of the Director, as well as scheduling and calendar of the department.
  • Establishes and maintains relationships with outside agencies and vendors.Supervises administrative student workers for the department, which includes hiring, distributing and reviewing work, managing work schedules, and approving timecards.
  • Participates in weekly departmental staff meetings and records minutes.
  • Meets regularly with Director to discuss outstanding and upcoming tasks, projects, and events.Works closely with other departmental administrative staff to ensure office runs efficiently and effectively.
