Job Description Summary
The Associate Registrar is responsible to the Registrar for preserving student record integrity and accuracy for current and former students and act as functional lead for information management and reporting in the student records system, Banner. In addition to adhering to current procedures, this position will aid in the improvement and implementation of new/modified business processes to increase efficiency. Provide leadership to Romeoville Office of the Registrar staff and direct supervision of all staff except Assistant Registrar

Responsibilities
Responsible to model the University Mission through dedicated job performance, service excellence to constituencies, respectful collaboration, and active support of the University's Mission in Catholic and LaSallian higher education.

  • Comply with FERPA/ADA and other applicable laws and AACRAO standards pertaining to academic records.


Serve as functional lead for Banner INB/ SSB, including but not limited to:

  • Create reports, processes, and continually improve workflows, in collaboration with Assistant Provost for Registration and Records that lead to efficiencies within the work of the office.
  • Train end users with access to Banner INB/SSB and create documentation of system processes.
  • Developing, maintaining, improving, and analyzing data reports related to student records, course scheduling, and enrollment.
  • Reconcile course and/or program charges with student records.
  • Reconciling student record program coding needed for accurate degree audits.
  • Identify and resolve technical issues within Banner student records database
  • Ensure the accuracy and integrity of student records.
  • Collaborate with office staff and Assistant Provost for Registration and Records in the creation of compliance reports.
  • In collaboration with the Assistant Provost for Records and Registration and Vice Provost for Undergraduate Academic Affairs, coordinate and oversee academic scheduling of course and room assignments. Facilitate the use of scheduling tools, including 25Live and CLSS.
  • Serve as a point person to address and provide timely resolution for complex record discrepancies in coordination with the Business Office, Financial Aid, deans' offices, etc.
  • Responsible for hiring, training, professional development, and supervising full-time Romeoville Office of the Registrar staff (coordinators), student workers, and graduate assistants.
  • Monitoring workflows of Office of the Registrar ticketing system, email, phone, and walk-in traffic to ensure timely services.
  • Counsel students, families on academic policies and procedures related to student records.
  • Set-up of Faculty Feedback Reporting each semester including No-Show, Midterm and Athletic Reports'
  • Comprehensive skills and integrity to think strategically and facilitate task/goal accomplishment in a time-sensitive environment while keeping both a broad scope and operational details in mind.
  • Enforce University and Office of the Registrar policies and procedure.
  • Manage special projects and/or activities as directed including system upgrades and implementations as well as data conversions related to mergers.
  • Act as surrogate in place of Assistant Provost for Registration and Records when necessary.
  • Serve on University committees and/or task forces as assigned.
  • Perform other related duties as assigned.

Minimum Qualifications
Master's degree preferred. A bachelor's degree is required. Experience in a records office or working with sensitive data preferred. Ability to apply critical thinking strategies in order to streamline procedures for maximum efficiency, both short term and long term. Prepare reports and analyze data using current and available technologies not limited to but including Microsoft Office Suite. The ability to communicate well both orally and in writing is essential. Candidates must also have a commitment to Catholic higher education and to the University's LaSallian Mission.
Preferred Qualifications
Robust experience with Banner and 25Live.
