Pavion and our family of companies are seeking a talented and motivated Installation Coordinator to join our security business unit.
Primary Responsibilities:
- Making initial contact for new projects
- Thank and welcome customer
- Provide name of assigned Project Manager
- Provide details of the next steps
- Provide a contact list
- Gather pertinent data from customer that needs to be given to Project Manager
- Assist Project Managers with scheduling
- Updating scheduling software - projects, office, training and PTO
- Coordination with subcontractors
- Verification of dates/times with customers
- Assisting with rescheduling
- Assists Project Managers with outbound shipping coordination
- Prep outbound shipments to subcontracts or customers
- Create Packing Slips
- Assists Project Managers with managing Posting Usage in Business Central
- Keeping track of what parts leave building from Pre-Pack area
- Posting the release of Staged parts to Posted Usage
- Oversees Part Sale projects (sold by local Sellers)
- Verifies all information with customer
- Requests to order or pull from stock
- Coordinate shipment or delivery to customer
- Request for invoicing
- Job closeout functions in Business Central
- Handles over the counter part sales (call in or email requests from customers)
- Create Work Order/Job in BC and CRM
- Verifies all information with customer
- Requests to order or pull from stock
- Coordinate shipment or delivery to customer
- Access card programming
- Program cards for contracted services
- Coordinates Install Department monthly vehicle inventory and spot inspections of vehicles
- Assists Business Operations Manager in periodic physical inventory functions
- Ensures a clean environment in work area
Basic Qualifications:
- High school diploma
- 3+ years of administrative support in the service provider industry
- Proven proficiency in MS Office suite specifically (Outlook, Excel, Word)
- MS Teams experience (Chat, create and/or attend necessary virtual meetings)
- Proven ability to resolve problems and understanding when to escalate
- Proven communication skills
- Excellent attention to detail
- Proven initiative and self sufficiency
- Ability to periodically work in a warehouse environment (standing, walking, lifting up to 30 pounds
- Occasional availability for increased hours based on receiving volume and other coverage duties
- Must be able to work on day(s) relating to annual physical inventory
