Job Summary

Responsible for all aspects of Prisma Health's documentation management system development, function, configuration management compliance, upgrades, and maintenance. Position provides support for the system along with coordination and consolidation of documents across the health system. Responsibilities include modifications and enhancements to the document management system as required to meet the needs of the end users. Position also assists in problem resolution, agency survey support, legal document requests, process improvement driven changes, nursing practice council support and facility education and learning opportunities. Key point of contact for new service/facility integration into Prisma Health to ensure compliance with document system needs for operations.

Essential Functions

  • Supports and organize coordination and consolidation of system wide and departmental documents to include, but not limited to, policies, procedures, guidelines, plans, and other regulatory required documents. Administers the Policy Tech software by trouble shooting issues and processes with Prisma Health Information Services and the vendor. Helps oversee maintenance of the system and software as needed. Develops functional requirements for the document management system, collaborating with the steering committee, leaders, and clinical councils to continually improve the system and evaluate its effectiveness. Will write and maintain operational and troubleshooting procedures for Policy Tech.

  • Ensures the Prisma Health document management software tool is working at its optimal state for end user interface and document retrieval. Collaborates with others to develop and maintain the basic standards for document formatting and routine management including policy/procedure development, design, and storage requirements. Convert all existing and new documents as required to reside in the electronic system, helping to support operational areas in document transition.

  • Responsible for quality control of policies and proper configuration management by ensuring document stages and reviews are completed within acceptable timelines. Collaborates with Information Services department to develop methods to ensure electronic documents are available during network downtime for business continuity. Assures documents are processed in compliance with applicable laws, regulations and accreditation standards and other patient safety agencies. Supports risk and legal inquiries for documents as requested. Assists and participates in accreditation surveys as needed, including on site Mock Survey Blitz activities as scheduled per the Continued Readiness Program.

  • Trains leaders and staff in using the document management system. Hold educational sessions at local facilities to support teams. Help provide program knowledge on configuration management and the purpose of the document management program, and organizational and practice risks of not adhering to the program requirements.

  • Communicates with all levels of staff throughout the organization providing input as necessary to ensure a team approach in overall management of documents and document integration into the electronic system. Accepts feedback from stakeholders and integrates feedback into the program using performance improvement methodology. Performs various administrative duties and completes special projects as needed and assigned by Executive Director.

  • Serves as point of contact for all document integration needs for new service lines or facilities with Prisma Health growth for regulatory compliance and operational support.

  • Performs other duties as assigned.

Supervisory/Management Responsibilities

  • Job has direct and/or indirect supervision of team members that may include final budget authority, hire/termination authority, performance appraisal responsibility and disciplinary authority. Job will be considered a member of management staff at Prisma Health or affiliate and will have two or more direct reports.

Minimum Requirements

  • Education - Master's degree in Business, Organizational Development or Clinical

  • Experience - Seven (7) years of experience in roles related to performance improvement, program management or document management systems. Experience in leading large scale project design and implementation success, leading change in a matrixed environment, health care experience.

In Lieu Of

  • In lieu of master's degree, minimum 15 years' experience in performance improvement, program management or document management systems.

Required Certifications, Registrations, Licenses

  • CPHQ certification required or achieved within 12 months of hire into the role.

  • Document management system administration experience required (Navex, Compliance 360, Policy Stat, QualTrax or other)

  • Project Management Certification or experience preferred

Knowledge, Skills and Abilities

  • Basic computer skills with proficiency in word processing, spreadsheets, and databases a must.

  • Ability to multi-task, manage competing priorities, and meet stringent deadlines, while maintaining regulatory compliance.
