Overview:

Pardee RAND Graduate School is seeking a highly organized and detail-oriented Administrative Assistant to join our dynamic team on a new and growing campus in the Washington, DC area. The AA will support the Vice Dean of the Pardee RAND Graduate School and the Director of the DC Area Campus. The ideal candidate will be an intrepid problem solver, an excellent communicator, and a brilliant multi-tasker.

  • The position is service oriented, requiring the ability to establish rapport and great working relationships with people across the RAND organization including staff, faculty, students, researchers, leadership, board members, and external visitors.
  • A keen eye for detail, great project management and follow-through, an entrepreneurial spirit, and a good sense of humor will serve the selected candidate well in this role.

Key Responsibilities:

  • Staff, student, and faculty support:Serve as a point of contact for staff, students and faculty, providing timely and accurate answers to questions and assisting with various administrative needs.
  • Calendar management:Assist in scheduling and maintaining calendars for the vice dean and the director the DC Campus, ensuring efficient time management, anticipating conflicts, and coordinating appointments and meetings.
  • Meeting coordination:Set up and facilitate meetings, including arranging logistics, preparing materials, and ensuring effective communication among participants.
  • Event organization:Play a key role in planning and executing campus events (brown bags, happy hours, lunches, external speakers, alumni events, etc.), ensuring all details are managed effectively for successful outcomes.
  • AV Technology Support:Understand and assist with classroom AV technology, ensuring equipment is functioning properly and providing support for technical issues as needed. Familiarity with cross-site collaboration on Teams and Zoom.
  • Communication:Demonstrate excellent oral and written communication skills to interact effectively with a diverse range of individuals across the RAND and campus community.
  • Outreach:Support the creation of newsletters and outreach materials for students, faculty, and staff, ensuring clear and engaging communication. Assist in managing social media accounts to enhance campus visibility and engagement, including content drafting and scheduling posts.
  • Classroom Organization:Assist in maintaining a clean and organized classroom environment, ensuring that spaces are ready for use and conducive to learning.

Qualifications:

  • Proven experience in an administrative role, preferably in an educational or research setting.
  • Strong organizational skills with keen attention to detail.
  • Ability to work independently and collaboratively in a fast-paced, evolving environment.
  • Familiarity with cross-site technologies such as Teams and Zoom; familiarity with AV equipment is a plus.
  • Skilled in Microsoft Office products, including Outlook, Teams, Word, SharePoint, OneNote, Excel, PowerPoint. Familiarity with CANVA or other design software is aa plus.
  • Experience with creating newsletters and outreach materials.
  • Experience with social media platforms and content management is a plus.
  • Flexible and adaptable to change, with an eagerness to take on new challenges.
  • Willingness to work on-site most days each week.

Experience:

  • At least 4 (four) years of relevant experience required; 6 (six) years preferred.

Education:

  • Bachelor's degree preferred
  • High School Diploma or GED equivalent is required.

  • This is a hybrid position calling for 4 days of onsite work.

Pay Range:

$55,900-$81,400.

RAND considers a variety of factors when formulating an offer, including but not limited to, the specific role and associated responsibilities; a candidate's work experience, education/training, skills, expertise; and internal equity.This position is overtime eligible. Successful candidates will be offered employment in a specific title, as determined by the candidate's education and experience.
