Position Description
Coordinates a section in a department that has institutional oversight responsibilities. Responsibilities involve the coordination and supervision of the various functions and aspects of a specific program or departmental project as well as the monitoring of program staff and operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise program staff, volunteers and/or students.
Major/Essential Functions
- Serves as admissions manager of student admissions for 4 academic programs.
- Serves as manager for credentialing processes of clinical providers in the speech, language, & hearing clinic. Completes and maintains credentialing paperwork, works with Provider Payer Relations to enroll providers with various payer sources, and maintains records of certification and licensure.
- Serves as the department coordinator for all students with 504 accommodations, including coordinating rooms for students who are authorized to test in alternative locations, proctoring examinations for students who have extended time, and assisting faculty when alternate formats or supplemental aids are required.
- Responsible for administrative and logistical operations associated with requirements for new students and new student employees.
- Serves as departmental manager of contracts and affiliation agreements.
- Serves as comprehensive examination coordinator for two graduate programs. Provides oversight for the graduate comprehensive exams by scheduling facilities, assuring that every faculty member enters examination material in Sakai, scheduling open/close dates and times in Sakai, developing a proctoring schedule, collating exam results, distributing the final results to students, and tracking any remediation required before a student is cleared for graduation.
- Serves as Search Coordinator for faculty searches, ensuring that HR procedures are followed, and paperwork is completed and retained per pertinent OPs.
- Responsible for retaining information needed for accreditation (e.g., course syllabi, semester schedules), compiles analytical reports, and assists with preparation of annual reports (e.g., Weave, CAA, HES survey).
- Maintains student information from time of application to graduation and facilitates student registration. Investigates and resolves matters of significance related to degree plans, enrollment, financial aid, and documentation of student remediation and disciplinary matters.
- Coordinates tracking and finalization of student enrollment and tuition payments each semester.
- Prepares course offerings and all information regarding scheduling; serves as section-builder for Banner and liaison to Classroom Support for room scheduling.
- Maintains program outcome data (e.g., admissions statistics, Praxis scores, graduation rate, comprehensive exams results, licensure and certification records). Compiles Alumni and Employer/Supervisor survey results, and summarizes for Program Directors.
- Maintains records of individual student outcomes (e.g., KASA requirements, program learning outcomes, remediation requirements and deadlines) and degree progression information (via DegreeWorks) and communicates relevant information to student, faculty, and Program Director.
- Coordinates course evaluations each semester.
- Works with Program Directors to ensure that public information (e.g., program website, catalog, textbook listings) is kept current and accurate.
- Assists with logistics of faculty meetings; upon request, attends meetings, prepares and distributes minutes.
- Prepares correspondence and forms for Program Directors (e.g., letters for midterm warning, academic probation; memos regarding graduation, badge return, admissions, scholarships, President-Dean's lists, transfer, fee waivers, etc.).
- Manages various tasks necessary for accomplishing department goals.
- Maintains student records needed for professional certification and licensure and provides verification to students, alumni, and external agencies upon request.
- Manages documentation for the CSD concentration in the PhD in RS program; updates forms; and coordinates schedules for annual review meetings.
- Other duties as assigned.
Required Qualifications
Bachelor's degree plus two (2) years related experience; OR a combination of education and/or related experience to equal six (6) years.
