Office of the Vice Chancellor for Student Success

Job Description

The Executive Assistant for the Office of the Vice Chancellor for Student Success provides professional, high-level direct support to the Vice Chancellor and Assistant Vice Chancellors, as well as a broad variety of administrative duties for the office. In performing duties, the Executive Assistant will work independently and collaboratively as appropriate and exercise initiative, judgement, discretion, and confidentiality.

About the Division

The Division of Student Success consists of 14 areas including: athletics and recreation, academic support services, academic advising, Kummer student design center, retention initiatives, study abroad, student health services, student well-being, accessibility and testing, community standards, residential life, student involvement, career opportunities and employer relations, family and friends. Therefore, the incumbent should have a wide range of knowledge including experience within athletics, academic success, and student engagement and well-being.

Key Responsibilities:

  • Provide a range of highly complex support to Vice Chancellor and Assistant Vice Chancellors
  • Effectively manage calendars and agendas
  • Assist with workday preparation by anticipating information needs such as support documents, materials, itineraries, and information
  • Coordinate logistics and provide administrative support for a variety of events, projects, committees, and meetings
  • Compose and send correspondence, reply to emails and other inquiries on behalf of the office, some of which involve highly confidential and/or sensitive matters, and serve as a resource person to others within the Division of Student Success
  • Supervise professional and student office staff by providing a positive first impression and back-up as needed. With the support of this team, manage incoming calls and visitors, supplies, requisitions, and requests for repairs
  • Coordinate office coverage
  • Coordinate travel and accommodations as needed; prepare travel and expense reports for prompt reimbursements
  • Pay bills, subscriptions, memberships, invoices, etc.
  • Maintain website, office telephones, and oversee division email inboxes
  • Develop and proofread reports, proposals, presentations, and other materials, exhibiting attention to detail
  • Primary point of contact for employers and alumni through the Career Development Council; Schedule bi-annual meetings, manage communications, and track membership and business processes; Provide ongoing communications to keep members informed of the campus activities
  • Special projects/other duties as assigned
Minimum Qualifications

Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications

  • Excellent written and verbal communication skills
  • Strong organizational and interpersonal skills and the ability to manage multiple projects simultaneously while exhibiting attention to detail
  • Experience in managing events, travel arrangements, multiple calendars, and preparing meeting agendas is required
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook Calendar) and PeopleSoft
  • Experience completing basic website updates
  • Experience working in higher education is preferred
Anticipated Hiring Range

The anticipated hiring range for this position has been established as $20.00-$26.34 hourly.

Salary is determined by a variety of factors, including but not limited to, the individual's particular combination of education, skills, and experience, as well as organizational requirements.
