About The Weill Institute for Cell and Molecular Biology

The Weill Institute for Cell and Molecular Biology, part of Cornell Research & Innovation, serves as an interdisciplinary research center for life sciences at Cornell University. Since 2008, its faculty have conducted cutting-edge research from basic molecular mechanisms to human diseases, fostering collaboration across diverse fields such as Biomedical Engineering, Chemistry, and Plant Biology. With 12 faculty members and about 150 students, postdocs, and technicians, the Institute is based in Weill Hall on Cornell's Ithaca campus. An administrative team of six supports the Institute under the guidance of the Director of Administration.

The Opportunity

A self-motivated, service-oriented individual is needed to provide administrative support to faculty and lab members, as well as assist the Research and Administrative Manager with the preparation and submission of basic grant proposals. Key responsibilities include managing day-to-day administrative needs for at least five research labs and offering targeted support for grant-related tasks.

Key Responsibilities

  • Procure supplies and services for supported labs using eShop, p-card, and purchase order requests through the University's financial system.
  • Make travel arrangements and process reimbursements promptly using the University's Concur system.
  • Maintain calendars, bulletin boards, and display cases.
  • Organize and manage stock of shared office and kitchen supplies.
  • Coordinate with faculty to plan and execute lab events, including meetings and Ph.D. defense celebrations.
  • Read, interpret, and maintain a strong understanding of Cornell's policies and procedures related to procurement, travel, and other functions.
  • Prepare and update Other Support and similar documents required for grant applications.
  • Assist the Research and Administrative Manager with the preparation and submission of basic grants, using University and sponsors' online proposal processing systems.
  • Maintain cleanliness of shared spaces, including kitchen and lounge areas.

What We Need

A resume and cover letter are required for further consideration.

  • High school diploma and 2-4 years of experience working independently in a dynamic, service-oriented team environment.
  • Proficiency in using common productivity applications like Word, Excel, PowerPoint, and email, as well as experience with enterprise-wide systems for administrative tasks such as purchasing and travel reimbursements.
  • Strong organizational skills and sound judgment to prioritize tasks effectively, handling multiple responsibilities and interruptions with grace and flexibility.
  • Excellent written, oral, and listening communication skills.
  • Experience in and/or demonstrated commitment to supporting diversity, equity, access, inclusion, and well-being.
  • Passion for working in an organization that values and promotes diversity, equity, inclusion, anti-racism, and well-being.

  • Experience in an academic research environment is highly desirable.

This is a full-time (40 hours/week) endowed position that is based in Ithaca, NY and fully on-site. Work hours are 8am-5pm Monday through Friday.
