Department Facilities Management
About the Position This position provides management and leadership to the Business Services group and supervises financial services including accounts payable, accounts receivable, asset inventory, infrastructure accounting, journal entries, and cost accounting systems. About Us As the landlord for all facilities owned by Maricopa County, the Facilities Management Department is responsible for the planning, design, construction, maintenance, and operations of more than 200 facilities comprised of over 10 million square feet. Facilities Management is made up of a collaborative team that provides and performs various functions to meet the facility-related needs of all Maricopa County Departments. Our broad range of services includes various aspects of the ongoing operations and maintenance of all County-owned facilities, management of all facility projects, and in-house design services. We Require
- Three years of professional-level financial or budgeting experience
- Bachelor's degree in Accounting, Finance or a closely related field
- An equivalent combination of post-secondary education and/or job-related experience may substitute for the required experience on a year-for-year basis
We Also Value
- Five years experience in accounting and/or auditing, performing budgetary and finance activities in a government environment using a large-scale financial system
- Two or more years of supervisory/lead experience
- Experience with CGI Advantage system, with advanced proficiency using spreadsheets and databases
Job Contributions
- Reviews and approves Department invoices, including payments associated with Article 3 and Article 5 contracts, utilities, direct payments, employee reimbursements, memberships, and travel-related payments
- Supervises assigned staff and manages personnel-related activities, including hiring, terminations, performance management, and training
- Monitor expenses against approved budget allocations for the Operating and Major Maintenance budgets
- Communicates with management, staff, vendors, customers, auditors, and County finance staff regarding payments, invoices, travel policies, and other financial matters
- Forecast the Operating and Major Maintenance budgets on a quarterly basis in the financial system, forecast monthly in internal sheets
- Conducts internal audits and reviews of Department financial activities as assigned (e.g., p-card practices)
- Works in collaboration with department management and the County's Office of Budget and Finance to ensure that the department consistently applies and
complies with the County's financial plans, policies, procedures, practices, and state and federal laws - Evaluate department financial operations and provide recommendations for improvement; Implements new work processes, policies, and procedures
- Performing a complex financial analysis of department operations, including forecasting, cost/benefit analysis, and cost projections
- Assist with the preparation of the Operating and Major Maintenance annual budget requests
- Other Job Duties as assigned
