Staff Assistant ***This position requires an active Secret clearance or the ability to obtain one.*** The Staff Assistant will support the Assistant Secretary, Deputy Assistant Secretaries, and Senior Advisors by managing the flow of information, tracking deadlines, and ensuring that high-quality administrative tasks are completed on time. This role requires strong organizational skills, attention to detail, and the ability to handle sensitive communications with discretion. Compensation & Benefits: Estimated Starting Salary Range for Staff Assistant: $95,698.76 Pay commensurate with experience. Full time benefits include Medical, Dental, Vision, 401K, and other possible benefits as provided. Benefits are subject to change with or without notice. Staff Assistant Responsibilities Include:
- Coordinate administrative and operational tasks to support the Assistant Secretary, Deputy Assistant Secretaries, and Senior Advisors.
- Maintain effective communication with internal and external stakeholders, including the Executive Secretariat, Operations Center, and other Department of State bureaus.
- Track and monitor correspondence and taskers within the bureau, ensuring deadlines are met and necessary follow-ups are conducted.
- Ensure the quality, timeliness, and accuracy of written products, reviewing documents for format, style, coherence, and content.
- Liaise with key offices to manage the flow of high-priority documents and ensure timely responses to inquiries.
- Advise bureau personnel on upcoming deadlines, overdue tasks, and proper Department of State procedures for documentation.
- Provide guidance on processing documentation, enforcing deadlines, and making necessary corrections to ensure compliance with department standards.
- Performs other job-related duties as assigned
Staff Assistant Experience, Education, Skills, Abilities requested:
- Master's degree from an accredited institution.
- Three to six years of professional work experience in a relevant field related to foreign policy, international affairs, space policy, science communication, or international science and technology cooperation, or a combination of these fields.
- Proven experience designing, implementing, and recommending improvements to business procedures and/or systems for tracking communications, decisions, and approvals by a wide range of stakeholders.
- Excellent interpersonal and oral and written communication skills.
- Proficiency in computer- and web-based applications including Microsoft Office suite and Adobe Acrobat.

- Qualifications:
- Master's degree in a relevant field such as Political Science, International Relations, Public Administration, or Business Administration
- Minimum of 3 years of relevant experience in administrative support or office management, preferably within a government or international affairs environment.
- Experience coordinating high-level communications and managing sensitive information.
- Familiarity with U.S. foreign policy, government operations, and Department of State procedures is preferred.
- Understanding of administrative processes, including document control, correspondence tracking, and deadline management.
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Excellent written and verbal communication skills, with attention to detail and the ability to proofread documents for style, coherence, and accuracy.
- Ability to liaise with senior officials, both within and outside the organization, maintaining discretion and professionalism.
- Strong problem-solving abilities with the capability to make decisions independently and proactively address issues.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management tools.
- Active Secret security clearance, or the ability to obtain one prior to the start of employment.
- Demonstrated ability to work both independently and as part of a team.
- Flexibility and adaptability to changing priorities and deadlines.
- Strong time management skills with the ability to handle competing demands.
