What Were Looking For: As an IT Specialist, you will play a crucial role in ensuring the smooth operation of our company's IT Systems and Infrastructure. You will work closely with a cross-functional IT teams and other departments to provide support and assist with various IT projects. What Youll Do: Payment Processing
- Receive and review credit card payments for group related technology requirements.
- Verify cardholder information and accurately process payments using our designated payment processing system
- Ensure the accuracy and completeness of transaction data by carefully inputting and crosschecking customer information, payment amounts, and authorization codes.
Vendor Support
- Verify vendor billing accuracy as compared to the Loews Hotels signed contract/maintenance agreement, and communicate with vendors, including exhibitors, audio-visual technicians, printers, and other service providers required for conferences.
Conference Proposals
- Assist management with the development of comprehensive proposals that emphasizes the value proposition of the conference services offered and highlights the unique selling points to potential clients.
- Collaborate with sales and operations teams to ensure a smooth handover of clients once the quote is accepted.
Schedule Coordination
- Assist management with scheduling technicians and adjusting schedules as needed due to unforeseen circumstances, such as technician unavailability, emergency calls, or customer rescheduling requests.
Collaboration with Conference Leadership
- Collaborate technology resources and with the conference planning team or other relevant stakeholder to integrate the outcomes of pre-conference meetings into the overall conference planning process, incorporating feedback, and making necessary adjustments as needed.
Accounts Payable:
- Process vendor invoices in a timely manner and collaborate with internal departments to resolve discrepancies or issues related to invoices or payments.
- Reconcile invoices with purchase orders, maintenance agreements, and other relevant documentation as needed.
Inventory:
- Assist inventory control manager to ensure precise documentation of hardware and software inventory, assisting to maintain up-to-date records of assets.
- Collaborate with cross-functional teams, providing support and guidance on asset management processes, assisting with asset-related inquiries, and participating in asset-related projects or initiatives.
Service Now:
- Assists with entering and updating tickets to ensure smooth operation and efficient handling of support tickets, monitor the progress of support tickets, ensuring that issues are addressed in a timely manner and within defined service level agreements (SLAs).
Network and System Monitoring:
- Assists the network team with monitoring network and system performance to identify potential issues to ensure optimal functionality and uptime.
Data Backups and Disaster Recovery:
- Assist in the execution and monitoring of data backup processes, contribute to disaster recovery planning and participate in recovery efforts as needed.
Documentation and Reporting:
- Maintain accurate and up-to-date documentation of IT processes, procedures, and configurations.
- Generate regular reports on IT metrics, including helpdesk tickets, system availability, and user satisfaction.
IT Project Support:
- Collaborate with the IT team on various projects, such as system upgrades, software rollouts, and infrastructure improvements, and assist in project planning, testing, and implementation.
Project Planning:
- Assists the management team to develop and maintain project documentation, project plans, facilitates effective communication between team members to ensure the team is aware of project timelines, deadlines, and milestones.
Your Experience Includes:
- Bachelor's degree in Computer Science, Information Technology Preferred, or a related field (equivalent experience will be considered).
- Basic understanding of computer hardware, operating systems, and networking principles.
- Familiarity with Helpdesk Software and Ticketing Systems.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
