Working under minimal supervision of the Manager and Supervisor, Software Contracts and Solutions Support, referring only exceptional problems and issues for management review or approval, the VL Contracts and Solutions Specialist operates through a call center environment and call tracker system acting as a support resource to all Sales affiliates. Primary duties include creation and submittal of high-level customer-specific contracts for Connection’s Tier 1 vendors and managing the data generated by the customer agreement along with all required purchasing activities. Provides Account Managers and other internal customers with volume licensing program guidance, information and value-added solutions, through the entire sales life cycle. The VL Contracts and Solutions Specialist maintains personal knowledge of vendor programs and contract procedures within the assigned segment in order to make educated decisions that ensure licensing meets both vendor program and company audit compliance.

The VL Contracts and Solutions Specialist uses knowledge and experience to develop internal processes and documentation related to supported vendor programs. Identifies process improvements and enhancements through understanding of the need for unique business drivers and makes proposals for improved processes. Responds timely to all requests. Develops and maintains resources for the benefit of Sales and other associated teams.

Responsibilities:

  • Handles entry level to complex purchasing activities based on the customer vendor contracts/agreements and program rules.
  • Audits purchase orders for compliance to vendor program specifications and internal controls.
  • Ensures that internal controls are followed by validating customer eligibility to vendor program and pricing requirements for compliance purposes.
  • Researches and resolves any processing issues with associated vendor.
  • Obtains vendor authorizations for customer returns.

    • Services are provided through a call center, case management and email requests.
    • Management and maintenance related to vendor notifications.
    • Uses all necessary vendor supplied resources and tools.
    • Audits supplied information for accuracy.
    • Completes and submits vendor contracts to fulfill sales order obligations.
    • Problem solves and uses prior experience to identify potential issues in contract creation and submittal in order to avoid broken contracts.
    • Processes requests for updates to contracts, including changes to channel partner and contact information.
    • Manages documents associated with vendor contracts.


  • Develops and presents documentation and data that meet sales and customer needs.
  • Manages and maintains VLP database, various reports and price sheets to support licensing business.
  • Creates cases and reporting for annuities and renewals.
  • Creates annual true-up forms in accordance with current company templates.
  • Develops and maintains Licensing resources for the benefit of Sales and other associated teams. Examples include Cheat Sheets, Sales Hub Documentation, Agreement lists and Logs, Vendor Program resources and System Tool Resources (E1, Callback, PSN, SWA & VLP).
  • Identifies process improvements and enhancements.
  • Participates in and contributes to team goals.
  • Identifies gaps in resources and documentation around licensing programs and works with Manager and Supervisor to develop trainings and resource updates for team members, as well as Sales and Sales Support.
  • Presents licensing focused training sessions designed to support Sales & Product Management initiatives.
  • Maintains Team OneNote Notebook to keep vendor and program information, along with team processes and communication notes, current.
  • Develops and maintains key vendor and Sales team relationships.
  • Increases personal knowledge of vendor programs and procedures.
  • Attends both internal and external trainings and webinars to increase personal knowledge across all supported areas.
  • Builds relationships and supports Connection Sales and Support Teams, included but not limited to Business Development Managers, the vendor’s solutions specialist, Renewals Desk and Microsoft COE.
  • Acts as an escalation resource for supported customers related to questions specific to licensing programs.
  • Performs all other duties or special projects as assigned. Identifies the need for unique business drivers and make proposals for improved processes. Pursues strategies for enhancing the end-customer experience as it pertains to licensing.

  • Intermediate Microsoft Excel skills with ability to create formulas, tables and charts.
