Position Description:

As an Education Program Coordinator II in the Graduate School you will work under the direction of the Associate Dean of Postdoctoral Education. Independently execute a variety of tasks crucial to the efficient operation of the Office of Postdoctoral Education. Collaborate with the Graduate School, ensuring Graduate School programming runs smoothly by working collaboratively with others, where appropriate and maintaining a professional image.

Primary Functions

  • Independently execute institutional or program activities (e.g., educational/professional development events, training, trainee recruitment, orientation, schedules, and special events)
  • Maintain proficiency in accreditation, board and institutional requirements. Coordinate and monitor activities related to these requirements to ensure full compliance (e.g., semi-annual RCR trainings)
  • Serve as primary liaison with faculty, administration, other departments, affiliated institutions, and national organizations
  • Develop and maintain database(s) to track, schedule, and record activities related to the institution, program(s) and trainees.
  • Create/process/track purchase orders/check requisitions in Oracle with accuracy and skill
  • Monitor Postdoc Office email daily and route inquiries to appropriate parties; handle communication with postdocs via email, Slack, social media, etc.
  • Facilitate and attend all quarterly Department Administrator (DA) meetings and monthly Postdoc Advisory Committee (PAC) meetings and serve as a liaison between the Postdoc Office and the PAC/DAs
  • Create/compile/maintain content for the Postdoc Office newsletter and website
  • Provide information, support, and problem-solving on a wide range of issues for leaders, faculty, staff, and trainees.
  • Create brochures, flyers, handbooks, and other materials.
  • Collect, maintain, and disseminate program data including reporting program data and progress to program stakeholders.
  • Create SOPs as needed and maintain job procedure binder
  • Maintain program budgets with assistance of Graduate School Administrator and Associate Dean of Postdoctoral Education
  • Lead a team of staff in organizing annual Graduate School Poster Day
  • Participate in Graduate School staff/faculty meetings
  • Collaborate with others in the Graduate School Office on various projects as needed
  • Other duties as assigned

Knowledge - Skills - Abilities

Knowledge of computer skills, clerical procedures, customer service standards, collaboration, and information management. Organization, time management, interpersonal, communication, and problem-solving skills are all critical. Represent Postdoc Office to stakeholders with the utmost professionalism.

Position Requirements:

Appropriate experience may be substituted on equivalent basis

Minimum Required Education: Bachelor's degree
Minimum Required Experience: 3 years
Preferred Education: Preferred degree in Higher Education, Business or Finance
