JOB SUMMARY:
This person will provide seamless execution of work assignments, that may be complex in nature and considerable judgement, tact, creativity, and initiative are required. Provide administrative support, assistance with correspondence, extensive calendar coordination, meeting preparation, payment processing, recordkeeping, and management of special projects.
PRIMARY RESPONSIBILITIES AND ESSENTIAL FUNCTIONS:
- Coordinate all efforts associated with cross functional leadership staff meetings by maintaining and preparing agenda, securing guest speakers, and audiovisual needs. Provides administrative support on-site during meetings; to include gathering and arranging materials and relevant information, takes minutes, and action items to be disseminated after the meeting when relevant
- Coordinate executive visits including compiling master agenda, assisting with travel details (reservations and local transportation), cross functional department visits, etc.
- In building coordinator for facilities by ensuring rooms are setup prior to meetings, securing parking lot spaces for major employee events, posting updated Cox signage and current businesses licenses inside building and Cox Owned facilities within market
- Communicate in person and through correspondence with high-level contacts inside and outside the company
- Lead coordination for market events to drive interdepartmental engagement for 1500 employees. Coordinate special events including seasonal gatherings as well as Q1/Q4 leader meetings. Coordinate and manage all details to execute a successful event.
- Assist Market Vice President with overall employee engagement by distributing or posting relevant information relating to competition, local promotions/events related to driving company product launches and other priorities.
- Compose and proof correspondence, and facilitate creation of special reports, gathering and summarizing data for leader meetings, and corporate watch parties using the appropriate Microsoft Office software (Word, Excel, PowerPoint, Outlook).
- Manage a complex, changing calendar of both internal and external events and meetings for the Market Leader using MS Outlook. Schedules and prioritizes meetings, appointments, rooms, equipment, catering and other resources.
- Own and maintain contact information resources for leader.
- Assist in handling customer escalations.
- Support for Public Affairs and Government Affairs team .with administrative duties, assisting with communication to community nonprofit and political partners, and maintain VIP invitations and coordinate all elements for high profile fundraisers (i.e. Governor's Black Tie)
- Interacts daily with senior leaders and employees across the market and their team members.
- Manage specific conference room calendars and sets up before meetings and/or events for the executive.
- Arrange travel (air, hotel, transportation) and coordinates agenda with regional staff when required.
- Track budget expenditures.
- Maintain business licenses ensuring all are up to date by coordinating with the region licensing lead.
- Direct inquiries to the appropriate team members and uses discretion on prioritization of engagement.
- Maintain confidential information and secure access to confidential company information.
- Prepare notes of meetings, conferences, and similar proceedings; attends conferences to provide administrative support as directed by the leader.
- Greet and assist visitors and arranges for escorts, as necessary.
- Prepare and submit expense reports, and invoices ensuring accuracy and compliance with company policies and procedures using Concur software.
QUALIFICATIONS AND EXPERIENCE:
Minimum
- High School Diploma/GED and 7 years' experience in a related field. The right candidate could also have a different combination, such as any level degree/certification beyond a HS diploma/GED in a related discipline and 5 years' experience; or 9 years' experience in a related field
- Experience directly reporting to and supporting senior executives and their respective teams
- Strong written, and verbal communication skills to use sound judgment to field inquiries professionally and efficiently
- Excellent follow-up and follow through with ability to stay on top of and anticipate competing and changing priorities
- Proactive and work independently, show initiative, problem solve and take ownership of all projects and assignments to achieve positive results
- Excellent listening and interpersonal skills and can communicate with discretion, diplomacy and tact
- Strong knowledge of MS Word, Excel, PowerPoint required; Concur, Workday time reporting tool, Condeco, and Teams a plus
- Excellent planning, calendar management, organizational, meeting coordination and project management skills
- Excellent ability to work effectively with teams throughout the organization, navigate network effectively, and gain support from peers and others within team
- Extremely strong project and time management skills; detail-oriented with the ability to multi-task and prioritize workload
- Must have experience maintaining confidential, business, and personnel sensitive information
Preferred
- BS/BA or advanced degree in related discipline strongly desired (i.e., Business)
- Project management experience desired.
- Experience in telecommunications desired.
- Experience and understanding of Concur, Condeco, and Oracle.
- Experience planning and coordinating events and or meetings for large groups is preferred
USD 28.08 - 42.12 per hour
Compensation:
Hourly base pay rate is $28.08 - $42.12/hour. The hourly base rate may vary within the anticipated range based on factors such as the ultimate location of the position and the selected candidate's knowledge, skills, and abilities. Position may be eligible for additional compensation that may include commission (annual, monthly, etc.) and/or an incentive program.
Benefits:
Employees are eligible to receive a minimum of sixteen hours of paid time off every month and seven paid holidays throughout the calendar year. Employees are also eligible for additional paid time off in the form of bereavement leave, time off to vote, jury duty leave, volunteer time off, military leave, parental leave, and COVID-19 vaccination leave.
