Job Summary:
|
We are seeking a program coordinator to help with the day-to-day coordination and administration of the Cancer Center's intramural and limited extramural research funding programs. Examples of Work Performed (Grant Funding - 60%)
- Support the Program Manager in the administration and execution of all internal and limited extramural funding processes
- Oversee the intake, review, and scoring of research grant proposals from Scientific Review Committee members, ensuring they meet eligibility requirements and program guidelines.
- Facilitate communication with Cancer Center's Research Program Leaders to create internal RFA's for pilot grants
- Support the limited submission process and ongoing relationships with these organizations
- Develop grant intake forms and track grant submissions using SmartSheet, or other grant management programs
- Track membership of the Scientific Review Committee and facilitate annual process to solicit new members
- Maintain award database and monitor progress of funded projects; submit requests for scientific progress reports, ensuring they are submitted in a timely manner; process all extensions requests
- Support collection and dissemination of grant-related metrics
- Update and disseminate weekly newsletter of funding opportunities and ensuring funding website is up to date
- Promote cross-program collaboration by developing an understanding of member's research and connecting them with relevant funding opportunities and resources
- Develop FAQ's and guides to streamline funding inquiries and improve service efficiency
Examples of Work Performed (Project Coordination - 40%)
- Organize study section meetings (identifying dates/times compatible across multiple calendars), prepare agendas, take meeting minutes, prepare notes for leadership
- Prepare and distribute award letters to grant recipients and coordinate with financial administrators to set up award speed types Prepare summaries of study section for EC committee meetings and funding approvals
- Support the ongoing recruitment for candidates for Standing Review Committee
- Conduct regular audits of REDCap database to maintain accuracy and completeness, implementing necessary corrections when needed
- Assist in the coordination of the awards banquet and manage all logistics associated with this event
- Track the progression of ongoing projects and provide support as needed
Team Approach As a member of the Intramural Funding Team, this position is expected to contribute to the overall goal of providing exemplary administrative management and support to the research grants/contracts routed through the Cancer Center
- Responsible for participating in team meetings and sharing knowledge to help elevate the expertise of all team members
- As requested, work collaboratively with team members and other colleagues to evaluate opportunities to improve on processes and procedures and contribute to the development of new initiatives for the benefit of grants management

Qualifications:
|
Minimum Qualifications: Entry Level
- A bachelor's degree from an accredited college or university in public or business administration, management, project management, health/sciences, communications or related field
Intermediate Level
- A bachelor's degree from an accredited college or university in public or business administration, management, project management, health/sciences, communications or related field
- One year of professional level coordination and administrative support in academic, healthcare and/or other business-related environments
Senior Level
- A bachelor's degree from an accredited college or university in public or business administration, management, project management, health/sciences, communications or related field
- Two (2) years of professional level coordination and administrative support in in academic, healthcare and/or other business-related environments
A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis. Applicants must meet minimum qualifications at the time of application. Preferred Qualifications:
- Professional and progressively responsible administrative or project management experience
- Experience coordinating schedules, meetings, and events in person and via Zoom
- Experience working in an academic medical environment
- Experience with Microsoft Office Suite, Smartsheet and REDCAP software programs
Knowledge, Skills and Abilities:
- Exceptional customer service and relationship management skills and ability

The starting salary range (or hiring range) for this position has been established at Entry: $47,063-$59,864 Intermediate: $51,215-$65,146 Senior: $55,368-$70,428 The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
