The Highlights:
In collaboration with the Chair, this role manages the day-to-day operations of the Psychology Department and supervises full-time and part-time staff members. The position reports to the Department Chair and works in collaboration with faculty and staff administrators within the department and in external offices to assist with the management of the department's operations, quarterly course schedule, and part-time faculty hiring and payroll. What You'll Do:
- Responsible for oversight of Psychology Department office in collaboration with the Chair, which includes a variety of complex and specialized administrative tasks.
* Makes day-to-day department operational decisions. * Supervises full-time and part-time staff members. * Collaborates with various staff, faculty, graduate students, and other departments on day-to-day issues and special projects and events. * Assists with tenure and promotion reports, faculty annual review process, and support for full-time faculty hiring processes. * Responsible for meeting minutes, facility access management, key inventory, etc. - Responsible for assisting the Chair with Psychology's undergraduate and graduate course schedule and staffing.
* Generates course schedule on a quarterly basis in partnership with Program Directors and Chair. * Assists the chair with adjunct instructor hiring and recruitment in partnership with the Associate Chair and Dean's office. - Responsible for Departments purchasing, graduate assistant, and student employee processes.
* Oversight of purchasing and supply orders for department, along with faculty for their grants with part-time coordinator. * Oversight of graduate assistantship funding, processes stipends, coordination of bi-weekly time hour reporting and approvals for approximately 50 graduate students and URAP recipients as well as all graduate assistant payments. Reviews doctoral scholarship (tuition waiver) payments with Grad coordinator. * Oversight of all student worker hiring, and responsible for time-sheet approval for student employees. - Responsible for assisting Department Chair with routine departmental activities and special projects.
* Troubleshoots personnel and organizational issues. * Conducts special analytical projects including financial and enrollment issues. - Assists Chair in Decision Making: staff supervision, class scheduling, purchasing, processing of part-time instructor hiring and recruitment.
- Direct Reports: 1 part-time staff, student employees, and support for other staff.
- In collaboration with the Assistant Dean - Operations, responsible for working with the Shared Service team on behalf of the Chair on department budgetary matters.
What You'll Need:
- Bachelors degree required. Master's degree desirable, but not required.
- Minimum of five years in administrative level position with academic and supervisory experience preferred.
- Excellent interpersonal, communication, writing, problem solving, and analytical skills.
- Ability to handle highest level confidential information.
- Detail orientation and ability to effectively manage multiple tasks.
- Must be able to take the initiative and creatively problem solve.
- Experienced with PeopleSoft or other enterprise-wide systems.
- High level of proficiency with MS Office Suite, particularly Excel.
- Overtime may be necessary.
