General Description:

The Executive Administrative Support position will provide assistance to the Eurovia Atlantic Coast (EAC) Shared Services Office and its employees, as well as being the first point of contact for the office. The Executive Administrative Support position is responsible for a variety of duties in the office including handling the flow of visitors, receiving office phone calls, and directing them throughout the office. The Sales Support Coordinator will ensure that all responsibilities are completed accurately and promptly.

Key Duties:

Sales Support:



  • Maintain digital and physical sales records.
  • Manage and maintain internal and external sales documents using Excel, PowerPoint, and KHEOPS.
  • Assist Accounts Receivable and Accounts Payable with Invoice Management
  • Assists in the preparation of reports and presentations and aids in the budgeting process.
  • Reconcile receipts and packaging slips with invoices.
  • Additional duties assigned as required.


Administrative:



  • Answer, screen, and forward any incoming phone calls while providing helpful information to callers when needed.
  • Takes notes at meetings and archives proceedings.
  • Maintain security by following procedures and controlling access.
  • Manage and track Personal Time Off for the Shared Services employees and communicate to the Payroll Department.
  • Perform additional clerical duties including but not limited to filing, photocopying, faxing, maintenance of postage on hand, and handling postal services to include sorting, and distributing daily mail/deliveries/courier bags.
  • Ordering of Office Supplies.
  • Administrative Support, as requested by the Various Shared Services Departments.
  • Update Safety Action Plan board monthly.


Qualification Requirements:

  • Education, Experience and Skills. This position typically is not an entry-level position. A minimum of 2 or more years of experience is required; more than three (3) years of previous experience in an administrative support role is preferred.


    • A high school diploma or general education degree (GED) is required
    • Must be proficient with MS Office including Word, Excel, and PowerPoint
    • Must be proficient with Adobe products
    • Must be able to work with a high attention to detail.
    • Must be able to understand work directions and communicate effectively
    • Excellent written and verbal communication skills
    • Customer service skills are essential
    • Must be well-organized and detail-oriented
    • Must be able to work with constant interruption
    • Previous experience in construction and contracting is preferred



  • Physical Demands. The following physical demands are representative of those that must be met by an Administrative Support Coordinator to successfully perform the essential functions of this job:



    • Periodic physical effort, including sitting and standing, is required during a regular work shift of at least eight hours per day.
    • Employee must be able to periodically stand for extended periods of time, and to stoop, bend, and crouch as required to perform Key Duties.
    • Ability to lift, frequently, at least 25 pounds personally and the ability to carry up to 15 pounds personally.



  • Work Environment. The work environment characteristics described below are representative of those that an Administrative Assistant will encounter while performing the essential functions of this job.


    • Work is performed predominately indoors, although periodic visits to construction sites or asphalt manufacturing facilities may be required.
    • Noise level in the office work environment is typically quiet.
