Department Administrator I
Overview The Department Administrator I will support the Department of Surgery by assisting with budget preparation, financial analysis, and administrative operations. This role will be instrumental in ensuring the efficient management of departmental resources, supporting strategic initiatives, and enhancing operational effectiveness. Responsibilities * Assist in the preparation and management of the department's annual budget, including gathering and analyzing financial data from various sources. * Assist with departmental expenditures, ensuring alignment with budgetary constraints. * Process purchase orders, invoices, and reimbursements in accordance with institutional policies. * Assist with preparing regular financial reports, including variance analysis, to keep departmental leadership informed of financial performance. * Assist with providing financial projections and forecasts to support strategic planning and decision-making. * Assist with departmental communications, including drafting and distributing memos, reports, and other documentation. * Assist in the recruitment, onboarding, and training of new staff members, ensuring compliance with institutional policies and procedures. * Coordinate with human resources on matters related to employee benefits, payroll, and performance evaluations. Assist with recording and process time and attendance * Assist in the planning, execution, and monitoring of departmental projects, ensuring timely completion of deliverables. Develop project plans, timelines, and budgets, and track progress against these benchmarks. * Process position action sheets new hires, one-time payments and time and effort reports and IDTs * Oversee the procurement and management of departmental resources, including supplies, equipment, and facilities. * Implement and maintain inventory management systems to track and control departmental assets. * Provide administrative support to the Associate Chair of Finance and Administration and faculty as needed, including calendar management, travel arrangements, and preparation of meeting materials. * Assist in the development and implementation of departmental policies, procedures, and strategic initiatives. Qualifications A Bachelor's degree or equivalent years of experience preferred. Significant years of experience in financial management and administrative operations, preferably in a healthcare or academic setting. Location : Location US-VA-Norfolk |
