Job Description Summary

Provides business services within a designated department (Field Operations), function or process area. Duties are primarily transactional and may include services such as office support; paperwork / documentation preparation, filing and submission; inventory tracking and purchasing; facility maintenance; administrative equipment maintenance and other transactional duties. Business Services employees may work in a general office or team setting or within a designated functional area (Field Operations) or field location (Mesa, Tempe, and Avondale offices). Company vehicle provided for business travel between offices and home.

Primary Responsibilities and Essential Functions:

  • Provides high-level transactional support and procedural expertise across multiple teams within an assigned functional or project area.
  • Provides business support for designated manager(s), team(s), or a functional area (i.e., Field Operations).
  • Provides office support - procuring supplies, performing transactional duties related to employee, contractor and visitor security and clearance, initiating service calls, and participating in life safety and emergency planning exercises.
  • Verifies accuracy of recorded information, including tax forms, invoices, expense accounts, bills of sale.
  • Ensures all materials and documents are signed, approved, and distributed / submitted as required by standard operating procedure and protocol.
  • Assists with facility maintenance - supporting construction, refurbishment, relocation, and similar activity.
  • Provides office administration - handling incoming and outgoing correspondence, performing data entry, handling filing and document retrieval, supporting meetings and conferences (scheduling, arranging A/V and other equipment), greeting, and directing visitors and guests, etc.
  • Ensures accuracy of all documentation.
  • Engages with assigned team members, boundary partners, customers, and other stakeholders to ensure accurate and timely communication and task completion.
  • May develop and/or maintain process / program organizational documentation.
  • Assists with the development and dissemination of diverse internal and external communications.
  • Ensures adherence to established company and regulatory policies and guidelines.
  • Ensures proper handling of sensitive information.
  • Provides senior-level support to larger teams (i.e., Directors), complex project areas and/or multiple managers.
  • Helps teams and managers juggle conflicting scheduling and related issues.
  • Serves as liaison between assigned teams / areas and other business units, departments, customers and/or other external stakeholders.
  • Assists with the preparation of one-off, special, and recurring documentation and reports.
  • Coordinates meeting and event needs for the Mesa, Tempe, and Avondale offices.
  • May handle some processing and invoicing for public & government affairs. Ensures payments are processed timely, invoices are recorded, and our tracker is accurate.
  • Handles office needs/inventory for the Mesa, Tempe, and Avondale Field-Offices.
  • Ensures maintenance and facilities have access to specific areas, badges, etc.
  • Primary POC for all employee engagement activities for Mesa, Tempe, and Avondale Offices.
  • Participates in ad-hoc cross-functional assignments.


QUALIFICATIONS

Minimum

  • High School Diploma/GED and 5 years' experience in a related field (Office Administration). The right candidate could also have a different combination, such as any level degree/certification beyond a HS diploma/GED in a related discipline and 3 years' experience; or 7 years' experience in a related field.
  • Requires strong knowledge of Microsoft Office Suite.
  • Excellent communication, collaboration, and execution skills to work effectively with teams throughout organization.
  • Valid local State Drivers' License with driving record that meets Cox standards
  • Must be able to report in-person at least one day a week at the Mesa, Tempe, and Avondale Offices.


Preferred

  • Any level degree or certification beyond High School diploma/GED + 3 years experience in related discipline desired (i.e. Business Administration)


USD 17.40 - 26.06 per hour

Compensation:

Hourly base pay rate is $17.40 - $26.06/hour. The hourly base rate may vary within the anticipated range based on factors such as the ultimate location of the position and the selected candidate's knowledge, skills, and abilities. Position may be eligible for additional compensation that may include commission (annual, monthly, etc.) and/or an incentive program.

Benefits:

Employees are eligible to receive a minimum of sixteen hours of paid time off every month and seven paid holidays throughout the calendar year. Employees are also eligible for additional paid time off in the form of bereavement leave, time off to vote, jury duty leave, volunteer time off, military leave, parental leave, and COVID-19 vaccination leave.
