Overview
Rutgers University Behavioral Health Care ( UBHC), established in 1971, offers a full continuum of evidence based behavioral health and addiction services for children, adolescents, adults, and seniors throughout New Jersey. UBHC's 1,060 experienced behavioral health professionals and support staff are dedicated to treatment, prevention, and education. UBHC, one of the largest providers of behavioral health care in the country, has a budget of $260 million and has 15 sites throughout New Jersey. Services are readily accessible and include: inpatient, outpatient, partial hospitalization, screening, crisis stabilization, family/caregiver support, community outreach and case management, supportive housing, supported employment, prevention and consultation, employee assistance programs, and a licensed therapeutic school from preschool through high school. Specialty services include the New Jersey suicide prevention helpline and peer help lines for police, veterans, active military, teachers, mothers of special needs children and child protective service workers. In FY2016, UBHC treated 16,199 consumers, had 24,502 admissions, and touched the lives of 19,441 individual callers through peer support. In addition, UBHC is the primary mental health training resource for the New Jersey departments of Human Services, Children and Families, and Corrections, delivering 16,000 trainings each year.
Posting Summary
Rutgers, The State University of New Jersey is seeking a Secretary II for the Child & Adolescent Partial Hospital/Residential/Adult Partial Hospital within Rutgers University Behavioral Health Care.

The primary purpose of the Secretary II is to provide a variety of secretarial services and administrative support services as well as general office services to the Partial Hospital Program.

Among the key duties of this position are the following:

  • Provides secretarial/administrative support.
  • Coordinates meeting arrangements on an as needed basis in a professional and courteous manner as noted by supervisor.
  • Notifies participants of meetings in a timely manner as observed by supervisor.
  • Prepares and distributes minutes using the Joint Commission format within appropriate time frames.
  • Maintains appropriate log sheets, maintains records and generates reports needed for efficient operation of Unit.
  • Greets all callers in a prompt and courteous manner as observed by supervisor and evidenced by feedback from staff, visitors, and callers.
  • Handles telephone calls in a professional and helpful manner.
  • Maintains an accurate filing system to meet the needs of the Unit.
  • Handles internal and external mail for Unit.
  • Performs assigned xeroxing, collating, and distributing of material required by unit.

Qualifications


Minimum Education and Experience

  • Graduation from an accredited program in secretarial studies plus three (3) years of full-time secretarial experience required. An additional year of experience is required in lieu of the secretarial program.
  • College credits may be substituted on a year-for-year basis for secretarial experience. Up to sixty (60) credits may be substituted for two (2) years of secretarial experience.

  • Proficiency in typing and word processing skills.
  • Microsoft Office experience.
  • Good external and internal customer service skills.

Physical Demands and Work Environment
PHYSICAL DEMANDS: Moderate physical effort (lift/carry up to 50 pounds). Frequently prolonged sitting and data entry. Frequently talks and listens to people on the telephone, and intermittently walks, bends stretches, pushes and pulls.
WORK ENVIRONMENT: Generally pleasant working condition in a clean, well-light, quiet to moderately loud setting.
