Job Description

The College of Arts & Sciences seeks an enthusiastic, detail-oriented Business Support Specialist I to provide essential general administrative and office support that includes a broad range of responsibilities for a proximity-based work center comprised of one or more academic departments within the College. Requires a positive, responsible, proactive individual with strong interpersonal skills. Position reports to the Senior Business Specialist within the Center.
This position is within the Lucas and Clark Work Center which consists of the departments Communication and Media Studies, English, History, Language and Cultural Studies, Philosophy, Sociology, and the Center for Teaching and Learning.

Responsibilities:

  • Performs a variety of independent, specialized business support duties for the assigned department(s) or Center under guidance of the Senior Business Specialist
  • Successfully performs multiple administrative tasks simultaneously in an environment with frequent interruptions and deadlines
  • Executes, documents and reports on business and fiscal operations using established templates and procedures
  • Provides administrative support to the Senior Business Support Specialist; organizes and completes structured assignments according to priorities and deadlines
  • Recognizes and solves problems that occur, sometimes without supervisory approval
  • Works with various vendors, customers, internal or external constituencies to complete complex projects; essential in implementing UM Shared Service Center Initiative in their respective center
  • Assists with hiring and procurement for the Center
  • Assists with advising faculty and staff on UM and campus purchasing policy and procedures, providing knowledge related to financial transactions
  • Performs and tracks Budget Projections for the department(s) as assigned by Senior Business Specialist
  • Acts as the Liaison to the Finance Support helpline for complex issues
  • Processes and tracks student scholarships
  • Assists with scheduling facilities, equipment and catering for events, meetings and programs
  • Assists with creation and maintenance of department websites, newsletters and other published items
  • Manages and coordinates program application processes; assists with student recruitment efforts as needed
  • Acts as an informal mentor to Office Support III staff within the Center, providing training and general instruction; Assists with training new Office Support III employees
  • May serve as coverage/backup for Business Specialist or Office Assistant duties as needed
  • Other duties as assigned

Shift

8 am to 5 pm, Monday through Friday

Minimum Qualifications

High School Diploma or an equivalent combination of education and experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications

  • Bachelor's Degree
  • Demonstrated proficiency in the use of PeopleSoft FIN application, Microsoft Office (Excel, Outlook and Word).
  • Excellent written and oral communication skills
  • Superior organizational skills and process orientation Exceptional attention to detail
  • Demonstrated problem solving skills
  • A minimum of three years of full-time work experience in a fast-paced and varied environment specializing in administrative support
  • Related work experience in an institute of higher education
  • Familiarity with the use of Peoplesoft HR and MyView.
Anticipated Hiring Range

Pay commensurate with education and experience.
Hiring Range: $13.67 - $23.87 Hourly
