JOB SUMMARY

Provides administrative assistance and excellent customer service while effectively communicating with all Company personnel, internal and external visitors. Performs multi-disciplined administrative, clerical, and cost accounting activities for the Fleet Department, including record keeping and accounting, document preparation, presentation development, and special projects. Coordinates meeting schedules and travel for fleet staff and asset transfers, acquisitions, and disposal of company assets while keeping sound records, documentation, and current detailed reports.

MINIMUM QUALIFICATIONS


  • Must possess a working knowledge of office, inventory and cost accounting procedures at a level normally acquired through completion of an associate degree in a business or office related discipline or equivalent experience; and
  • Three years' experience providing administrative or accounting/invoice processing support.


      JOB RESPONSIBILITIES


      • Works under the direction of the Fleet & Vendor Relations Director and in coordination with the Fleet team, to complete administrative day-to-day activities, including cost accounting, meeting and travel coordination, and customer service for the Fleet department.
      • Keeps abreast of organizational changes to ensure system records are up to date to include driver changes, unit transfers, and other applicable updates.
      • Reads and routes incoming mail, prepares outgoing mail, maintain office supply inventories, and performs coordination of meetings and travel logistics for Fleet personnel.
      • Assists Fleet personnel with monitoring and maintaining auto and work equipment inventory and cost allocation records for all companies. To include the updating of all master lists.
      • Responsible for the administration of the Company credit card and fuel card program and other purchasing agreements as assigned.
      • Reviews, codes, and processes Fleet invoices.
      • Responsible for continued development and implementation of effective electronic and paper records management systems for the Fleet Department.
      • Creates listings and maintains documentation and records for the disposal of company vehicles and equipment through internal and external auctions, and other economical disposal methods.
      • Assists in the enhancement and development of existing department processes and systems.
      • Maintains a working knowledge of applicable internal and external policies and procedures. Familiar with company Fleet Policy.
      • Processes and distributes required monthly, quarterly, and annual reporting.
      • Performs other tasks and special projects as assigned.

      • Wage Range: $21.03/hr. to $26.29/hr.

      PREFERRED QUALIFICATIONS


      • Prior experience with the automotive, equipment, or trades industries.
      • Knowledge of license and titling processes and procedures

      • This position is required to be on-site at Everus' corporate location in Bismarck, ND or at an Everus operating company location.
      • Background check, MVR and drug screen may be required.
