Job Summary
This 1-year contract position provides executive-level administrative, financial, and programmatic support to the financial managers, Administrative Officers (CAOs), Academic Program Management Officer (APMO), and the Vice Dean of Basic Sciences. The incumbent works on various projects within the Basic Science Departments under the general direction of the financial manager, CAOs, Department Chairs, APMO, and Vice Dean of Basic Sciences. The incumbent assists in the development, revision, and implementation of short- and long-term departmental strategic plans for the Admin team and Departmental operations. Also, the incumbent supports various Educational Outreach Projects and events, including the annual Krebs Symposium, Women in STEM Symposium, and Basic Sciences Symposium. This is a 1-year contract position (from the hired date) with the possibility of extension. The Project Analyst will be involved in the day-to-day operations of the Administrative team while also contributing to long-term project planning and execution, especially in the areas of financial management. Activities include gathering, compiling, and organizing data and information for reports, drafting proposals and reports, and other work products; supporting PR campaign and digital and traditional media communications activities, including updating the website and other social media contents for the Basic Sciences Departments; organizing files and formatting documents; planning remote and in-person events; liaising with partners within UC Davis, at other academic institutions, and relevant nonprofit organizations or governmental agencies; and, other program administration support. Minimum Qualifications
- Bachelor's degree in a related area and/or equivalent experience / training.
- More than 2 years of experience managing and administratively coordinating large-scale conferences, meetings, and events.
- At least 2 years of experience in executing PR campaign and social media strategy.
- At least 2 year of experience in marketing and budget planning.
- Excellent interpersonal, written, and verbal communication skills to communicate across all mediums effectively and professionally (written, verbal, social media, etc.)
- Excellent typing, writing, editing, and proofreading skills to produce correspondence, training manuals, and other written materials quickly and accurately.
- Excellent interpersonal, verbal, and written communication skills to interact with a diverse group of individuals clearly and effectively at all levels within the organization to secure and/or provide or present information to clarify situations, resolve problems, and foster and promote the goals of the organization.
- Analytical skills to develop policy and procedures and identify areas to improve and streamline processes and resources; develop action plans based on the information.
- Excellent critical and innovative thinking skills to address moderately complex issues and present nuanced analyses.
- Experience working as part of a team that develops and delivers effective solutions.
- Experience using analytical skills to research and interpret data and policy, contribute to solutions, forecast the impact of potential actions, develop logical conclusions, and/or recommend solutions.
- Experience coordinating large volumes of work; managing detailed projects with conflicting priorities and competing deadlines; and establishing goals and workload priorities.
- Organizational and time management skills to prioritize workload and meet deadlines, develop and carry out project assignments efficiently and timely, and provide accurate and concise documentation of activities.
- Demonstrated ability and experience with scheduling and coordinating meetings, events, and logistics, and working with vendors.
- Knowledge and experience with online meeting platforms, such as Zoom, WebEx, or Microsoft Teams.
- Must possess working knowledge of applicable software, applications, and programs - Microsoft Office, Tabeau, Canva, Instagram, LinkedIn, Facebook, Twitter, and basic video editing.
- Experience providing customer service skills & exercising diplomacy in dealing with others & resolving potential problems & discrepancies.
- Demonstrated political acumen to work in an executive-level office environment, and ability to represent leadership with tact and discretion to all constituents.
Preferred Qualifications
- More than 2 years of marketing and event management experience.
- More than 2 years of experience in planning and executing PR and social media strategy.
- Experience performing purchasing-related tasks including, but not limited to, placing orders, researching product specifications, obtaining & providing cost comparison information, interpreting the terms & conditions of contracts & determining total costs, including tax & shipping.
- Experience with social networking, website content development, and the creation of compelling presentations in multiple media for a wide range of target audiences.
- Project coordination/management experience.
- Knowledge and skills to analyze and review financial documents.
