Job Overview:
- Provides management and supervision to site level PAS team in specifically designated locations.
- Evaluates, manages, and supports Patient Access Services staff for optimal productivity and performance through appropriate metric tools.
- Actively works to identify gaps in schedules and create action plans to maintain booked rates.
- Works closely with the clinical team of their designated areas to meet and discuss gaps in schedules and processes in order to create actionable plans to implement resolutions.
- Maintains an open line of communication with Director of Patient Access Services, Site Director, Assistant Director, Clinical Leads, and other PAS Team Site Managers to optimize patient access services processes and streamline processes.
Qualifications:
Required:
- Bachelor's degree or minimum 3 years of related experience in a healthcare setting
Preferred:
- Previous customer service experience in a healthcare setting preferred

Scheduling Requirements:
- PAS Manager position - overseeing 4 outpatient locations: Clifton/Bayonne/Newark/West Orange, with home office in Bayonne and expectation to travel to other sites,
- 5 day/week position, all on site
- FT Day
Essential Functions:
- Ensure appropriate staffing/coverage for PAS team in designated area
- Remedy PAS Customer Service issues in designated area
- Evaluate and manage performance improvement of staff related to audits specific to: Right Provider, Right Insurance, Right Service, Wrong Site, Account Not Pre-Registered, Improper Account Type
- Evaluate and manage performance improvement of staff related to audits specific to: Attending No Charge
- Evaluate and manage performance improvement of staff related to audits specific to: Payment Collection
- Ensure the fulfillment of Available slots with an on-going look ahead to future projections. Implement action plans to optimize book rates, may include evaluating templates, identifying barriers to fill, prioritizing wait lists, etc.
- Evaluate and manage performance improvement of staff related to audits for: Productivity, Extend or Reduce, Cancellations, Follow Ups, etc.
- Evaluate and manage performance improvement of staff related to audits specific to: Productivity Booked Appointments
- Evaluate and manage performance improvement of staff related to Audit - RX on File for Service (at scheduling, at registration)
- Evaluate and manage performance improvement of staff related to Five9 metrics.
- Complete and Maintain tasks in Plan of Care Visual Smartboard
- Attend Clinical/Scheduling Meetings to discuss gaps and huddle with clinical team; implement resolutions and action items
- Relay all necessary template change information the orientation specialist and Assistant Director
- Report all urgent matters directly to the Site Director
- Responsible for all scheduling communication and urgent actions related to the sites of responsibility
- Redirect staff to an Orientation Specialist for Re-education opportunities as needed.
- Attend meetings and represent patient access services in addition to the Assistant Director and Site Directors, where needed
- Maintain Daily team huddles with staff
- Maintain a weekly cross-section meeting with all schedulers at all designated sites to share information and touch base on organization wide impacts
- May serve as Site Administrator for Physician Services site
