The opportunity

As a Wellness Center Student Office Assistant at Southern New Hampshire University, you will serve as the initial point of contact for students and visitors to the Wellness Center. We are seeking a courteous and approachable professional who can procure accurate information through various communication channels, including in-person interactions, phone discussions, and email correspondence. This role involves coordinating and managing schedules, facilitating student appointments, and ensuring seamless communication between students, nursing, counseling services, and other relevant stakeholders. Upholding confidentiality and fostering a supportive environment for students seeking assistance will be paramount. The successful candidate will exhibit strong customer service skills and uphold confidentiality standards while ensuring all individuals feel welcomed and valued during their interactions with our office.

Main Responsibilities:

  • Schedule, cancel, and reschedule student appointments for nursing and counseling services.

  • Evaluate and process incoming medical records in the Electronic Medical Record (EMR) system, including reviewing, interpreting, and entering immunization dates to ensure compliance. Maintain accurate and up-to-date electronic medical records, ensuring that all information is kept confidential and in compliance with HIPAA and FERPA regulations.

  • Effectively manage high-volume tasks such as promptly responding to emails and inquiries, manage incoming phone calls daily and performing administrative related tasks.

  • Provide information about office programs and other Wellness Center services to students and visitors.

  • Perform scanning of documents, ensuring confidentiality of records stored in the Electronic Medical Records system, in addition to faxing and photocopying of confidential information.

Requirements:

  • Excellent interpersonal skills done with a compassionate approach to supporting students.

  • Proficiency with Microsoft Office products (Word, Excel, Outlook) .

  • Capability to prioritize tasks efficiently and maintain a structured workflow in a fast-paced environment

  • Attention to detail in maintaining patient records and ensuring accuracy in documentation.

  • Ability to work effectively as part of a team while also being self-directed in managing daily responsibilities.

  • Proficiency in both written and spoken English. Candidates must be able to effectively communicate in English, including the ability to write clearly and accurately, as well as engage in verbal interactions with staff, students, and visitors.

  • Ability to maintain confidentiality and adhere to ethical guidelines in handling sensitive information.

Minimum Qualifications:

  • Current enrollment as a student at SNHU.

  • Eligible for Federal Work-Study funding.

  • Previous experience as a front desk representative or in a related position is highly desirable.

  • Demonstrated ability to professionally interact with peers.

  • Demonstrate high level of maturity with sensitive topics in all interactions.

  • Ability to adhere to confidentiality standards of the Wellness Center.

  • Commitment to promoting student wellness and fostering a supportive campus environment.

This position requires 4-8 hour blocks of time commitment throughout the week. The successful candidate will coordinate their schedule with existing student workers to ensure full front desk coverage during office hours. Flexibility in scheduling is essential to accommodate business demands.

Please be aware that, as part of this role, you may encounter students experiencing mental health or physical distress. You may be asked to assist in basic level crisis intervention and risk assessment as necessary, ensuring the safety and well-being of all students.

Compensation

The hourly pay range for this position is $12.00 - $15.00. Actual offer will be based on skills, qualifications, experience and internal equity, in addition to relevant business considerations.
