I. JOB OVERVIEW


Job Description Summary:
The Professional Psychology Program at the George Washington University is part of the Columbian College of Arts and Sciences. The program is a psychodynamically oriented 4-year clinical psychology program where successful graduates receive a Doctor of Psychology (Psy.D.) degree oriented towards clinical practice. The Program includes both theoretical and applied learning for students who undertake course work provided by the faculty, and provide therapy to clients of the Center Clinic, the Program's community mental health center.

The GW Professional Psychology Program is seeking an Academic Department Administrator. This position would attend to the program's administrative needs, including assisting the Program Director with required accreditation and administrative reports, academic scheduling, and course evaluations; overseeing facility scheduling requests, following up on maintenance issues, and responding to applicant inquiries. This position will report to the Senior Academic Department Administrator.

This entry-level administrative support position provides administrative support to an academic department. The core responsibilities of this position are to support the administrative operations of the department, to include: developing and maintaining databases, scheduling, supporting, attending and producing agendas and minutes for meetings, preparing correspondence designed to affect action or publicize department activities, and compiling/distributing various assessments. Additional duties include monitoring the progress of students toward degree completion and performing related administrative, advisory, and editorial duties. This role will typically assist with activities related to attracting prospective students, and will assist with the department admissions process by providing information to students and overseeing department registration procedures. This position keeps accurate and complete student records and ensures students complete college requirements, processes student financial appointments, and develops and monitors budgets and prepares and process all financial related matters, including purchase orders, supplemental compensation, invoices, honorarium, stipends, volunteer appreciation recognition, and expense reimbursements. This position often maintains the department P-card and ensures budget compliance with institutional policies and procedures. This role will also serve as liaison between department and university administrative offices, will assist with student life issues, counseling and/or referring students as appropriate, and will assist in arrangement of special events and may serve on departmental academic committees.

Responsibilities Include:

  • Act as first point of contact for the program and the facility: answering phone calls, and checking program email or other digital message accounts. Provide timely, complete information in a friendly and helpful manner.
  • Coordinate program public communication efforts through webpages, surveys, brochures and alumni newsletters.
  • Overseeing facility use and troubleshooting: schedule shared program spaces such as conference rooms. Identify, document, report, and follow up on all facility issues with appropriate maintenance or school staff
  • Assist Program Head with key academic tasks, including accreditation and required administrative reports, preparing academic schedules, collecting and storing syllabi, overseeing student course evaluations
  • Assist with clerical needs of staff and faculty: basic troubleshooting, office supply ordering, mailing, photocopies, and data compilation.
  • Manage front office space including overseeing any student workers and keeping the front office professional and functional.
  • Attend staff meetings, integrate and coordinate with other administrative staff on key special projects as directed by supervisor.


Performs other work-related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications:

Qualified candidates will hold a high school diploma/GED plus 3 years of relevant professional experience, or, a Bachelor's degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.
