Overview

Serves as the Manager of all Outpatient Oncology Clinics/Departments. Responsibilities include managing oversight of day-to-day department operations, including department staff; efficient and effective administrative, clinical, educational, and maintenance operations within department; identifying and making recommendations regarding process improvement opportunities; and managing special projects, which includes oversight of the Oncology Clinical Research program. Responsible for the departmental operating and capital budgets, employee engagement & turnover, and the optimization of resources to meet/exceed departmental and organizational key performance metrics.

The Oncology Services Manager serves an integral role as part of a multidisciplinary team to deliver evidence-based, coordinated and cost-efficient care to oncology patients and their families and caregivers. Manager establishes and maintains collaborations with medical providers and provider organizations, serving as a point of contact to offer information, education and coordination of patient care related to oncology. Manager must effectively communicate and coordinate with providers, staff, administration, and internal and external customers, including patients.


Qualifications

License/Certifications:
Basic Life Support (BLS) within 30 days - American Heart Association (AHA); Licensed Registered Professional Nurse (RN) - Illinois Department of Financial and Professional Regulation (IDFPR)

Education:
Bachelor's Degree: Nursing (Required)

Responsibilities

Manages leaders of day-to-day operations in each department
Procures necessary equipment and resources for personnel in all Oncology Clinics
Ensures department planning and scheduling is in compliance with budgetary guidelines, proper distribution of assignments and adequate staffing, and appropriate space and facilities for subsequent performance of duties
Manages the development and implementation of patient scheduling procedures that maximize the number of daily procedures that can be performed to ensure efficient operations in the departments
Manages various personnel actions including, but not limited to, hiring, performance appraisals, promotions, vacation schedules and corrective action.
Ensures the availability of proper staffing for delivering patient care in all Oncology Clinics
Ensures compliance with regulatory agencies such as JCAHO, IEMA, IDPH and FDA
Manages development and maintenance of departmental policies, procedures, and objectives
Works closely with department leaders to ensure safe, accurate, and quality care is provided
Oversees the quarterly site visit activities conducted by the outside radiation safety consultants and suggests corrective actions
Works to promote a positive work environment which emphasizes respect for patients, families, physicians, staff and internal and external departments
Oversees staff coordinating machine maintenance and machine repairs and minimizes machine downtime
Works with providers and the department director to coordinate provider schedules and coverage for time off
Provides opportunities for staff development and in-service programs
Enhance patient access and ease referral management for physicians
Develops coaching and corrective action plans as needed to influence team members related to performance and behaviors
Investigates performance and behavioral issues with HR to make employment status decisions
Coaches and grows team members as a part of their personal and professional development
Works with department leaders to set goals and objectives for achievement of operational results
Makes daily patient and employee rounds in each department
Mentors staff toward achieving excellent patient experiences
Models the organizational values and behaviors
Possesses ability to collaborate and communicate effectively with providers, staff and patients to assist in identifying and solving problems
Enforces and adheres to all organizational personnel/legal compliance policies and procedures and safety guidelines
Completes and conducts performance reviews with direct reports and gives oversight on indirect reports performance reviews
Connects the dots for staff by communicating how our department and region fits into the organization and the work throughout the organization, its subsidiaries and affiliates
Ensures the ongoing training and development of department leaders
Develops and mentors staff through on-boarding, open communication, training and development opportunities and performance review process
Builds and maintains employee morale and motivation; ensures the team is appropriately staffed with required competencies; fosters a diverse and inclusive workplace
Hires and manages; sets expectations, holds accountable, coaches, develops, and trains as needed
Responsible for team engagement and making it a great place to work for staff
Participate in regularly scheduled department staff meetings are conducted to share information/ideas, seek feedback from staff and discuss employee concerns; resulting in a plan of action to address concerns, and provide staff development
Manages personnel selection, training, orientation, discipline, developing, and guidance of staff
Completes timely performance reviews with staff
Develops standards of performance and expectations for staff
Manages development and maintenance of established departmental policies, procedures, and objectives
Oversees and evaluates day to day activities to ensure quality patient outcomes
Ensure staff meets mandatory education and competency requirements
Works in conjunction and collaboration with department engagement champion to cascade information to team
Identifies problem areas (in patient care delivery, staffing, and business development) and works toward solutions
Ensures patient satisfaction levels result in positive trends. 95%or higher
Ensures that department complies with hospital-established policies, quality assurance programs, safety, and infection control policies and procedures
Reviews RL Event reports with Director of Oncology to determine causes and to provide for prevention of future incidents through counseling and education of staff and appropriate discipline
Maintains an environment that meets standards of safety, cleanliness and orderliness
Monitors current patient care practices and patient flow to identify inefficiencies and opportunities for improvement
Participates in gathering data on PI initiatives, including chart review
Participates in determining root causes
Initiates and implements process improvements based on evidence-based practices and best practices in the delivery of care for oncology patients
Works to improve patient outcomes through various initiatives, committees and work groups
Selects metrics to track patient outcomes
Monitors referring physicians with use of monthly dashboards
Monitors and manages department employee engagement scores and turnover rates
Manages quality metrics and regulatory standards related to their specific area of responsibility and knows how to obtain results and maintain compliance
Clearly assigns responsibility for tasks and decisions and sets clear objectives and measures; Monitors process, progress and results
Monitors technology advancements and is responsible for addressing quality as it relates to equipment and technology
Continually networks with other departments and programs to seek best practice program design innovations
Measures and monitors process, progress, and results. Can quickly sense what will help or hinder accomplishing a goal and removes barriers
Monitors, evaluates and implements actions to improve employee and patient satisfaction
Monitors department dashboards with metrics that track timeliness of throughput, access of services, referral management, and other appropriate departmental metrics
Exhibits collegial relationships with referring providers and the community to enhance referrals and new business
Prepares annual budget, prepares department business plans, and other projects as requested by the department Director
Manages expenses and identifies opportunities for savings and for cost avoidance
Monitors patient revenue and statistical reports paying particular attention to variances and the cause of the variance
Monitors department productivity
Prepares reports identifying adverse trends, investigation into trends, and appropriate recommendations to address and resolve trends
In conjunction with Director of Oncology, collaborates with Billing/Coding teams to ensure efficient operations
Ensures appropriate staffing for volume and manages overtime
Prepares reports setting forth progress, adverse trends and appropriate recommendations or conclusions
Collaborates with ILCC & Carle Research departments to sustain Clinical Research program in Oncology at Methodist
Works with physicist, provider and other necessary personnel to ensure applicable clinical trials are open and offered to Carle patients
Serves on committees and attends meetings as required/ requested
Assists in meeting facilitation and presentation

Compensation and Benefits

The compensation range for this position is $42.08per hour - $72.38per hour. This represents a good faith minimum and maximum range for the role at the time of posting by Carle Health. The actual compensation offered a candidate will be dependent on a variety of factors including, but not limited to, the candidate's experience, qualifications, location, training, licenses, shifts worked and compensation model.
