Position Overview

CWT Meetings & Events is seeking a M&E Reconciliation Support Specialist II

Position Description

Responsible for functions that support the successful commission collection, client invoice, and client reconciliation services for mid-complexity meetings and events. This includes but is not limited to:



  • Collaboration with meeting planners, group air planners, and other accountable for the reconciliation of M&E programs.
  • Review, reconciliation, and submission process of supplier invoices for payment processing
  • Reconcile contract to charges identified for client billing
  • Analysis and control of events to define and close any financial discrepancies during the full meeting lifecycle
  • Review and solution of any discrepancies with Commercial and Operational Teams
  • Support CWT's internal billing process by following the Client's policy and M&E account and business policies
  • Check and adjust (if necessary) the PO number and other mandatory items to send the invoice to the client
  • Close events and prepare fee collection
  • Contact with suppliers to confirm the commission's amount that was previously negotiated and to request commissions due
  • Issue of approved commission values
  • Prepare and submit commission invoices to Suppliers (receivable commissions)
  • Preparation and sending invoices and respective supporting documents to the clients and suppliers
  • Answer to questions of external and internal clients (M&E Commercial/Ops and CWT Finance Team)
  • Monitoring of deposit schedules required within client agreements
  • Support monitoring of client refund payments
  • Review and update tools (MB) or client's meeting management tool if any

  • Attention to detail and very organized


Education & Experience:



  • High School Diploma or studying with some experience in the area (M&E or accounting)
  • 2+ years of meeting and event or financial or accounting experience
