The Facilities Administrative Assistant will work closely with the Sr Director and VP of Facilities and perform a variety of Facilities-related administrative tasks, including assistance with the day to day facilities support, helpdesk monitoring, staff communications across departments, and other tasks as needed. This role will assist in interdepartmental support, support the MFT in terms of Corporate events and support for landlord interactions for administrative matters. They will also provide support for team supervisors and in COI management.

This position will be fully in person.

What you'll do:



  • Monitor Facilities Helpdesk and route tasks to individuals as needed
  • Monitor Facilities activities from a staff communications perspective, ensuring appropriate coverage

  • Enter and manage data entry of significant Facilities tasks, costs and projects into Asana, as directed by Senior Director



  • Assists the Sr. Director of Facilities Programs & Systems and the Multi-Function Team supervisor in managing coordination of Cleaning & waste, environmental and specialist services



  • Provide administrative support as required to the Space-planning and Property Management teams, including on-site service vendor management and scheduling co-ordination



  • Support the management of Landlord services (bike permits; COI coordination; etc.)



  • Support the management of procurement of office supplies and ordering from vendors



  • Assist Operations Supervisor with print & copy order management



  • Support the management of stationery and business card orders company wide



  • Contribute to continuous improvement, and make recommendations to Senior Director on all administration matters

This role will have an annual salary of $47,500 - $52,000.
