Provides administrative support to the accuracy and timely completion of critical documents and processes including but not limited to the Individualized Support Plan (ISP) and related documents, the incident management process, training, and qualification compliance. The ISP specialist reports directly to a Residential Operations Manager but interacts with various positions throughout the residential program including but not limited to DSPs, program supervisors, behavior specialists, and managers.

ESSENTIAL FUNCTIONS:



  • Performs all job duties with the understanding that what is most important is that which is important to the individual supported
  • Demonstrates professionalism, dignity, and respect towards people supported, co-workers, management, and external stakeholders


Licensing and Contractual Compliance:



  • Acts in accordance with all agency policies, state and federal regulations, local monitoring standards, and contractual requirements
  • Reports all violations of agency policies, state or federal regulations, local monitoring standards, or contractual requirements immediately to program manager
  • Completes Quarterly Reports using the Electronic Health Record (EHR), and routes to the program supervisor for review and signatures. Ensures timely completion, signatures of applicable parties, and submission to SCO and team members in conjunction with all applicable regulatory guidelines.
  • Ensures notification and tracks completion of the annual skills assessment. Ensures timely submission following all applicable regulatory guidelines.
  • Oversees annual distribution of declination letters as part of the ISP process to ensure all team members have the opportunity to receive quarterly updates regarding the progress of the person supported.
  • Distributes ISP updates to supports coordinator (SC) as provided by the program supervisor (PS).
  • Upon being notified via email of an ISP revision, the residential operations specialist will ensure notification to team members and provide the team's response to the updates.
  • Ensures that Annual ISP documentation, including Annual ISP Invitation Letter and Annual ISP Signature Sheet, are present in Evolv.


Administrative:



  • Complies with all InVision Human Services policies, procedures, and standard business practices
  • Correctly and accurately completes and submits by stated deadline, InVision Human Services required documents such as timesheets, mileage, and expense reports.
  • Adheres to schedule for arrival time, scheduled appointments, and other company related meetings
  • Ensures skill development requirements are completed annually.
  • Attends and facilitates required meetings, and attends regularly scheduled supervision with residential operations manager
  • Proactively feeds information upwards to keep management well informed of issues effecting operations
  • Utilizes computer equipment and programs to provide for efficient and effective communication and workflow
  • Creates and maintains effective interpersonal working relationships and functions as a member of the residential program team


Financial Management:



  • Provides full documentation of all expenditures made on behalf of the agency
  • Reports immediately any discrepancies related to use of personal or agency funds
  • Performs other duties as assigned by residential operations manager


EDUCATION and/or EXPERIENCE:

High School diploma/GED and work experience in the field of social services or with people with intellectual disabilities/mental health needs preferred. Associates Degree or Bachelor of Science or Arts in related field preferred; prior knowledge of 6400 regulations a plus. Demonstrates interest in professional growth by reading industry related information and participating in educational opportunities. Master's Degree may be substituted for experience.

Other Requirements:



  • Ability to comprehend, access and utilize electronic medium and various computer programs. MS Office Suite & MS Outlook at minimum.
  • Strong interpersonal, organizational, and communication skills
  • Excellent verbal and written communication skills.
  • Ability to comprehend and apply basic mathematical concepts
  • Competency in prioritizing multiple and competing projects


PHYSICAL DEMANDS:

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand and walk. The employee is occasionally required to sit; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl; and taste or smell. The employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision, distance vision, and ability to adjust focus.
