Job Description

The Legal Aid Society's Civil Practice is seeking a full-time Civil Grants & Contracts (G&C) Senior Data Coordinator. This position reports to the Deputy Director of Program Development & Evaluation on the Quality Assurance (QA) team. The Senior Data Coordinator liaises between the other G&C teams and the IT team that manages the database and database-generated reports, helping to shape, relay, and track requests, and to test database changes before they roll into production. The position involves reporting on the QA team's own Civil-wide contract portfolio, comparing performance over time, and handling periodic data requests from others. It also involves working with G&C teams and Practice staff on data cleaning to ensure data integrity and helping to identify and troubleshoot systemic issues with the data.

ESSENTIAL DUTIES/RESPONSIBILITIES

General Responsibilities



  • Works with Practice staff and other G&C teams to collect/correct missing or inconsistent data needed for reporting
  • Collects and synthesizes database and non-database information for the QA team's civil-wide contract quarterly and annual reporting, and submits reports in funder portals
  • Reviews contracts in the QA team's portfolio to ensure compliance and any required changes in data collection and reporting
  • Maintains and updates instructional manuals for data reporting and cleaning for the QA team's contracts
  • Collaborates with the IT team that manages the database and G&C teams' program-specific database reports to meet changing funder data requirements, improve data collection & integrity, and troubleshoot database issues. This includes helping to shape, relay, and track requests from G&C teams to the IT team, and test new database changes before they are implemented
  • Attends meetings with Practice managers and G&C staff to learn data needs and issues and help brainstorm solutions
  • Creates messaging for Practice staff on major database changes that impact their data entry and guides on best practices for database use
  • Collects, synthesizes, and clearly presents and communicates performance data upon request

TRAINING AND QUALIFICATIONS

Required qualifications:



  • Bachelor's degree with at least three years of work experience in data management
  • Extensive experience navigating and manipulating very large datasets using Office 365 Excel



Preferred qualifications:



  • Experience at a nonprofit organization or civil law firm



KNOWLEDGE, SKILLS, AND ABILITIES

Position-Based Technical Knowledge, Skills, and Abilities:



  • Demonstrated Excel skills such as advanced formulas, pivot tables, and formatting data for clean presentation and sharing
  • VBA coding experience preferred
  • Understanding of and ability to apply basic statistical concepts to compare and interpret data
  • Ability to search for information in a relational database and systematically test new database scripts in a database testing environment to ensure a smooth rollout
  • Demonstrated ability to think logically and to innovate, including ability to identify and bring attention to systemic data issues, to contribute to creative problem-solving, and to initiate efficient processes



Organizational Qualities, Skills, and Abilities:



  • Demonstrated ability to balance speed and accuracy, ensuring quick turnaround on requests with high attention to detail and in accordance with oral and written instructions
  • Exceptional organizational and time management skills, including the ability to manage multiple complex projects concurrently, often under tight deadlines. Ability to keep track of multiple incoming tasks and systematically follow up on outstanding requests
  • Ability to communicate data collection needs and data interpretation findings with clarity, precision, succinctness, and courtesy to a non-technical audience
  • Self-motivated and able to work independently, combined with willingness to ask questions as needed, take instruction, and submit work for detailed review
  • Ability to establish and maintain effective working relationships both internally and externally


  • Ability to exercise independent judgment in a complex legal environment, including ability to handle sensitive or confidential information

Salary Range/ Salary: $89,000 - $92,475
