Milwaukee School of Engineering (MSOE) invites applications for a full-time Purchasing Agent and Support Specialist to join our Facilities team. Under the direction of the Facilities Director, the Purchasing Agent and Support Specialist is responsible for making and tracking purchases. Services performed include, but are not limited to, processing all purchases, managing work tickets, and working with vendors.

Essential Job Functions

  • Follow university policies and procedures to requisition services, materials, and supplies as assigned by campus infrastructure.
  • Submit purchase orders for the campus infrastructure team as requested.
  • Reconcile vendor statements, researching discrepancies, working with vendors for resolution, and ensuring delivery of contracted goods and services.
  • Promptly answer vendor and staff questions regarding status of invoices and payments.
  • Close purchase orders and ensure proper paperwork is submitted when the service(s) or item(s) purchased is complete.
  • Maintain department purchasing cards
  • Research or source vendors, place orders, track all receipts, and complete monthly report.
  • Receive deliveries.
  • Inventory parts, tools, and equipment as assigned.
  • Monitor, assign, and close work ticket requests as needed.
  • Track and update preventative maintenance plans as needed.
  • Use computer applications related to position requirements.


Other Duties and Responsibilities

  • Interview student workers for open positions and complete related paperwork.
  • Perform routine clean up and organization in central shop.
  • Introduce new employees to shop protocol, procedures, campus applications and equipment.

Qualifications

  • HS Diploma or equivalent required
  • Associate's Degree in related field (examples include, but not limited to, Business, Supply Chain, or Finance) OR a minimum 1 year of relevant purchasing experience.
  • Proficient in the use of MS Office, including Excel, Word and Outlook for reporting and analysis.
  • Strong commitment to exceptional customer service and the preservation of confidentiality.
  • Experience with process improvements and automation.
  • Experience in the use of an ERP accounting system, such as Jenzabar, preferred.


Skills and Abilities

  • Ability to adapt computer skills to new systems.
  • Ability to read, write, speak, and understand English.
  • Ability to add, subtract, multiply and divide all units of measure, using whole numbers, common fractions, and decimals.
  • Strong analytical and organization skills.
  • Must be able to work harmoniously with employees from all areas of the university and with contractors from numerous trades.
  • Good written and verbal communication skills; able to communicate clearly, effectively, and professionally with others.
  • Must have abilities to multitask and coordinate multiple jobs simultaneously.
  • Ability to work independently, as well as in a team environment.
  • Ability to exercise sound judgement in decision making.


Physical Demands

While performing the duties of this job the employee is largely sedentary, the ability to move is required. The employee is occasionally required to traverse within their work area as well as other areas on campus.

Work Environment

The work environment can include all campus buildings. This job operates in a professional office environment. This role uses standard office equipment, including but not limited to computers, phones, photocopiers, and filing cabinets.
