Departmental Overview

The Access Services Division has leadership for planning and coordinating access and circulation policies and procedures across the UC Berkeley Library.

Additionally, the Access Services Division consists of the following units - Doe/Moffitt Circulation Services, Information Desks Services, Library Privileges, Media Resources Center, Newspapers/Microforms Library and Current Periodicals, and Stacks Maintenance.

The Gardner (MAIN) Stacks collection management includes daily oversight and strategic planning for a 2.2 million volume collection housed on campus and retrieval for the 3 million volumes of the collection shelved at the Northern Regional Library Facility. This unit controls access to the Gardner (MAIN) Stacks, group study rooms, and 65 Doe (Medium Rare collection).

Position Summary

This position supports students, faculty, staff, and non-UC affiliate users as it relates to physical collections access. The position supports all duties associated with providing access to the physical collections, including NRLF deposits, clearing backlogs of returned materials, collection inventory and shifts, integrating collections from subject specialty libraries into the Gardner Stacks, and processing newly acquired materials.

Responsibilities

Collection Maintenance and Stacks Management:

  • Performs advanced bibliographic verification; recalls NRLF materials and prepares NRLF deposits; makes final scanning determination on brittle, disintegrating volumes.

Assists the Stacks Manager with the day-to-day NRLF pulling and packing operations:

  • Pull materials from the stacks, packs and arranges pickup/deliveries of trucks to NRLF from MAIN.
  • Processes material requests received from NRLF.
  • Coordinates purchasing and maintaining packing supplies inventory.
  • Maintains storage statistics.
  • Assists with coordinating stack shifts to make space for items newly acquired, returned or to be integrated into the Stacks from other campus libraries.
  • Serves as work-leader to student library employees working on shifts, including assigning tasks.

Monographic Processing:

  • Processes withdrawals, transfers, and monographic replacements; initiates cancellation and claims; corresponds with vendors.
  • Assists with library collection planning, including measuring shelving space, pulling material for review and processing items to be withdrawn.
  • Processes Google Scanning project returns, including returning materials to the shelves.
  • Shelf reading and collection inventory.
  • Assists with claims returned, missing, and replacement bill searches.
  • Assists with clearing backlogs of returned library materials, including checking in, sorting and shelving.
  • Assists with receipt of new materials, processing holds, etc.

Serials Processing:

  • Oversee binding operations for a small unit; performs post- cataloging of the first issues of serial publications; processes transfers and withdrawals.
  • Processes items returned from the bindery, updating item or holdings records in the integrated library system, relabeling materials as necessary, processing items to be withdrawn, etc.

Circulation and Reserves:

  • Provides circulation related assistance to lend materials using the library's integrated library system.
  • Maintains a regular assignment at the Privileges Desks in-person and virtually via the Access Services LibAnswers queue to issue library cards and explain/establish borrowing privileges, collect library fines and fees, resolves problems and answer questions regarding billing or borrowing issues, and interpret library policies and procedures as related to library and collection access.
  • Refer complex issues to Privileges Desk Manager.

Required Qualifications

  • Specialty area knowledge and substantial background enabling the performance of a full range of specialized duties in a functional area.
  • General knowledge of library practices and procedures, including working knowledge of the Library of Congress classification system.
  • Advanced problem-solving skills.
  • Excellent analytical, organizational, interpersonal, and communication skills.
  • Recent experience with an integrated library system (ILS) and understanding of ILS bibliographic, item and holding records.
  • Demonstrated initiative, flexibility, and ability to work creatively and effectively both independently and as a team member.
  • Experience using common software applications, such as Microsoft Office Suite (Word, Excel, Access, PowerPoint), Google Drive (Docs and Spreadsheets), cloud data storage, such as Box, and email applications, such as Gmail, Outlook or bCal.

Preferred Qualifications

  • Academic library experience.
  • Alma ILS experience.

Salary & Benefits

This is a 100% full-time (40 hrs a week) non-exempt career position, which is paid hourly and eligible for UC Benefits.

It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.

This position is governed by the terms and conditions in the agreement for the Clerical & Allied Services Unit (CX) between the University of California and Teamsters Local 2010.
