Administrative Analyst
Job Summary This position plays a key role in developing, coordinating, managing, and executing tasks and projects under the purview of the NATRC Director of Operations. This will require the capacity to deal with diverse constituencies - ex. leadership, staff members, and external partners and funders, a facility for multitasking and dealing with high volumes of work, and a honed sense for problem-solving and project management. Demonstrates good judgment in selecting methods and techniques for obtaining solutions.
The Administrative Analyst responsibilities include (but are not limited to) managing the day-to-day program procedures, including (but is not limited to) assisting in managing a learning management system, coordinating the logistics of program external trainings, and high-level site visits, assist in external workshops and internal and external event planning, editing communications collateral, keeping contact and email lists up-to-date, record-keeping at meetings and events, and scheduling and managing phone conference calls and videoconference calls. Additional responsibilities related to NATRC program and under the purview of the Director of Operations include but is not limited to: work with executive leadership on projects designed to improve effectiveness or efficiency and assist on project-based research and data developments.
The Administrative Analyst uses advanced skills and knowledge of the UC system and its myriad applications and must be well versed in the policies and processes of a variety of areas. A strong candidate will have familiarity with UC policies, processes and tools around scheduling meetings, trainings, workshops and events and project management. The candidate serves as a key resource for NATRC leadership and staff members and/or will hold concerns for areas under the purview of the those above. The candidate is expected to address strategic issues and to resolve complex issues and situations. This is not an entry-level position; all applicants must have previous experience in an administrative assistant role, preferably for a senior-level employee. You must be able to handle sensitive information with discretion.
The National Alliance of Trauma Recovery Centers (NATRC) was formed in 2019 with TRCs across the country who are implementing the UCSF Trauma Recovery Center (TRC) model of care developed in 2001. The UCSF TRC model is designed to help victims of violent crime overcome barriers to accessing mental health treatment, case management and care coordination, healthcare, and legal resources in the acute aftermath of violence. The NATRC is a national alliance of 53 TRCs across the United States with a Steering Committee of member agencies. The NATRC provides technical assistance and training, facilitates a collaborative learning community, and serves as a catalyst to advocate for just and equitable healing services for all. The Administrative Analyst will provide administrative services, assists in project-based activities, general operations, and analytical support to the UCSF National Alliance of Trauma Recovery Centers (NATRC) program. Under the general supervision of the NATRC Director of Operations, they will also have specific support responsibilities from the program's Executive Director. With a full understanding of the scope of the NATRC program, the incumbent works on assignments that are at times complex in nature, requiring a high level of independence and initiative in execution and implementation.
The Administrative Analyst must be able to act independently and cohesively with only limited supervision to fulfill the overall objective of assuring an efficient and highly organized administrative function. Serves as a gatekeeper for the organization, understanding the requirements of the NATRC leadership team to prioritize issues according to urgency and to allocate time accordingly.
The incumbent is responsible for providing high level project and analytical support, systems access/technical administration, and to work in conjunction with and/or act on behalf of their leadership. This requires developing a thorough understanding of the practices & policies of the program, independently anticipating the needs of the program, and proactively taking action to address those needs. This position must act with a high degree of political acumen when acting on behalf of the executives, and/or engaging in activities with leadership. Must be an independent problem solver and be able to work in a fast-paced high intensity environment.
Incumbent will incorporate a social justice / racial equity perspective in their work and demonstrate understanding of the systemic and historical inequities that underlie higher rates of violent crime in marginalized communities. This is a remote position, with pacific standard time work hours. This position includes travel onsite or to meeting spaces a few times a year. The final salary and offer components are subject to additional approvals based on UC policy. Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement. The salary range for this position is $75,700 - $123,100 (Annual Rate). Department Description The UCSF-ZSFGH Trauma Recovery Center developed the Trauma Recovery Center model for serving survivors of violent crime, with a particular focus on reaching survivors from underserved communities. This model is designed to provide comprehensive, wraparound services that include assertive outreach, evidence-based and evidence-informed mental health treatment, case management/care coordination, and advocacy, with the goal of removing barriers to care and fostering healing for recent victims of violent crime. Populations served include survivors of gun violence, sexual assault, physical assault, human trafficking, domestic violence, and losing a loved one to homicide. Research has proven the efficacy of the TRC model, which has been replicated throughout California and nine other states to date.
The NATRC provides consultation, technical assistance, training, advocacy, and community-building activities to new TRCs as well as the current 53 TRCs across our national network. Through primarily web-based learning and some live learning, the NATRC program builds the capacity of TRCs to provide high-quality, evidence-based, culturally relevant mental health services and increase access to care for underserved survivors of violent crime.
Required Qualifications
- Bachelor's degree in related area and / or equivalent experience / training.
- Minimum of three years relevant work experience
- Solid knowledge of common University-specific computer application programs.
- Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills.
- Ability to use discretion and maintain confidentiality.
- Demonstrated excellent interpersonal skills. Demonstrated ability to represent executives to many different constituencies, including university staff, faculty and leadership, funding agencies, other institutions, and government and community-based organizations.
- Demonstrated excellent writing, editing, and proofreading skills.
- Demonstrated excellent organizational skills and ability to produce detail-oriented and accurate documents, spreadsheets, and reports.
- Demonstrates excellent skills in Microsoft Office tools such as Outlook, Word, Excel, PowerPoint and Access. Demonstrated ability to perform advanced online searches/research. Demonstrated ability to learn new computer skills and programs quickly.
- Demonstrated ability to work and learn new skills effectively and professionally in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, and efficient.

Preferred Qualifications
- Previous experience with Protected Health Information (PHI) and a fundamental understanding of Health Insurance Portability and Accountability Act (HIPAA) regarding an administrative and clinical setting. This position will require on-line and possible in-person courses for PHI and HIPAA compliance with UCSF standards.
- Prior UCSF or UC experience. Basic knowledge of UC policies and procedures for administrative, accounting, and purchasing management; or ability to research University policies (such as procurement and institutional policies and procedures).
- Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management.
- Broad understanding of UCSF mission, goals, organization, direction, practices, policies, procedures, and website.
- Knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, and contracts and grants regulations and guidelines.
- Some familiarity with programs serving survivors of violent crime (community violence, sexual assault, domestic violence, losing a loved one to homicide).
