Culmen International is hiring an Office Manager to provide support for the National Intrepid Center of Excellence (NICoE) at the Walter Reed National Military Medical Center (WRNMMC) and will be onsite in Bethesda, MD.

The National Intrepid Center of Excellence (NICoE) improves the lives of service members with traumatic brain injury (TBI) and other invisible wounds of war through excellence in TBI clinical care, research, and education.



What You'll Do in Your New Role

The Office Manager is a key role within an organization, responsible for ensuring the smooth execution of front office operations, strategic initiatives and acting as a liaison between executive leadership and operational teams.

Responsibilities:

    Lead front office operations in support of military leadership.
  • Work collaboratively as a member of the Directors Office team.
  • Support to Director and Executive Team including:
    • Calendar and schedule management
    • Draft routine memos and correspondence
    • Provide research and analysis to prepare briefing materials
    • Provide administrative and technical assistance for special projects as assigned
    • Manage executive task lists and activities to ensure timely completion of projects.
    • Understand the program goals and prioritize issues according to urgency.
    • Respond to routine and non-routine inquiries regarding NICOE operations, policies, and procedures.
    • Process incoming and outgoing materials such as military correspondence, reports, memoranda, and other forms of written communication.
  • Support to NICoE Administration and PMO team including:
    • Forward situations and issues presented by staff, faculty, and external constituents to appropriate staff members for resolution
    • Track the progress of various taskers, initiatives, and identify any issues or areas for improvement.
  • Make high-level contacts of a sensitive nature regarding routine and non-routine issues, internally and externally, requiring a high degree of discretion, diplomacy, and efficiency.
  • Use multiple computer applications to support key administrative functions.
  • Develop and manage a database of contacts, initiatives, and assignments.
  • Develop and implement standardized front office procedures and protocols.
  • Support crisis management and contingency planning efforts.
  • Provide Travel Support to executive leadership to ensure compliance in all aspects of travel procedures.
  • Other duties as assigned.


Required Qualifications

  • BA/BS with 1-3 years of experience in administration OR 3 years professional administrative work experience
  • Calendar and Schedule Management Experience
  • Experience engaging with and reporting to executive level leadership
  • Ability to provide high-quality customer service.
  • Strong written and verbal communication skills including interpersonal skills.


Desired Qualifications

  • Military experience
  • Federal Government administrative experience
  • Joint Travel Regulations and the Defense Travel System experience
  • Project Management experience

The determination of compensation at Culmen International, LLC is based on various factors such as location, the individual's unique combination of education, knowledge, skills, competencies, clearance level, experience, internal equity, contract-specific affordability, and organizational requirements. The projected compensation range for this position is $65,000 - $75,000 annually. This estimate represents the typical salary range for this position and is just one component of Culmen's total compensation package for employees.
