Salary/Wage Range: $21.47-31.49 (Classified Salary Level 10)
Salary/Compensation Statement:

  • The wage listed reflects an approximate annual salary of $44,658- 65,492
  • New employees may not be placed on the salary schedule higher than any current employee in this classification with the same or greater number of years' relevant experience and education.
  • Lane's robust Benefits package includes a generous contribution toward medical, dental and vision insurance, basic term life insurance, long term disability, vacation leave, personal time and paid sick leave.
  • Lane Community College is considered a qualifying public employer for the purposes of the Public Service Loan Forgiveness Program. Through the Public Service Loan Forgiveness program, full-time employees working at the College may qualify for forgiveness of the remaining balance on Direct Loans after 120 qualifying monthly payments under a qualifying repayment plan. Questions regarding your loan eligibility should be directed to your loan servicer or to the US Department of Education.

Position Purpose:
The Project Specialist position is responsible for providing a full range of administrative services for the Business, Technology and Trades division. The selected candidate will be able to demonstrate strong Microsoft Suite Skills, knowledge with Google Applications and customer service skills.
Essential Functions:

  • Attend division/program meetings; keep meeting minutes, experience with Zoom
  • Assist students with registration procedures
  • Assists in coordinating and compiling the Advance Technologies annual class schedule and works with division dean to finalize assignments and offers
  • Coordinates textbook orders
  • General office administrative support; assist in maintaining customer-oriented reception, greet students, orient students and staff to department and college policies and procedures
  • Gather information, compile data, calculate descriptive statistics, prepare required reports, plan and carry out special projects for a requesting supervisor
  • Responsible for providing a variety of services which relieve supervisor of administrative details to support the division through efficient and accurate use of scheduling and database software programs, for example, SCT Banner, ExpressLane, Argos, Axiom, SoftDocs, 25Live, Google applications, Megamation and Microsoft Suites
  • Coordinate with division employees for annual events may include but not limited to: In-service breakfast, Trades Expo, Women in Trades and the End-of-Year division meeting
  • Provide administrative support for division staff
  • May analyze and interpret budget and financial data
  • Maintain departmental program budget records
  • Verify expenditures and codes to appropriate account
  • Recommend and process transfer of funds between budget categories; purchase orders
  • Participate in long-range planning for division and its programs
  • Prioritize daily work and flow based on needs and assigned tasks
  • Review, revise and/or recommend changes to operating policies and procedures to streamline office operations and improve efficiency
  • Preform purchasing functions for the division within established college guidelines; research availability and prices of items used by the department; assists in developing bid proposals for larger items
  • Complete hiring duties of all part-time and student worker employees in consultation with lead supervisor and the Human Resource department
  • Assist lead supervisor with onboarding of new staff and student workers
  • May contribute with grant work
  • Problem solve and manage sensitive information with appropriate awareness of FERPA standards; maintain confidentiality and sensitivity to the privacy needs of students
  • Other duties as assigned

Supervision Statement:
Reports to and works under the general supervision of the Business, Technology and Trades Dean. Work, assignments and priorities may also be provided by the BTT division Project Coordinators.
Physical Demands/Working Environment:
While performing the essential functions of these positions, employees in this classification may be required to sit, stand, keyboard, write, listen, and speak for extended periods of time Work involves concentrated mental and visual attention for sustained periods of time. Work may require transporting materials up to 35 pounds. Work Safely.
Knowledge Skills and Abilities:

  • Knowledge of and skills in applying accounting and bookkeeping practices to monitor and track expenditures of a program budget and to prepare accurate and timely financial reports
  • Ability to analyze financial data and develop recommendations regarding expenditures and budget development
  • Skill in applying office procedures
  • Operate office equipment such as electronic bulletin board system, calculators, copiers/printers, fax machines, multi-line phones and audio visual equipment
  • Communicate effectively orally and in writing
  • Ability to represent the College in a professional manner through all forms of communication
