Rite-Hite is the global leader in the manufacture, sale, service and installation of loading dock equipment, vehicle restraints, high speed doors, high volume, low speed fans and much more - all design to improve industrial safety, security, productivity, design, environmental control, and energy consumption. As a fast-growing B2B industrial manufacturing company, we are looking for an Office Services Manager based out of our global corporate headquarters in Milwaukee, WI. This position contributes to an excellent and memorable experience for employees, customers and the community by overseeing the daily office operations of the Rite-Hite Global Headquarters Campus. This position supervises the Office Services team. The main responsibilities center around HQ office functionality, HQ safety and security, the corporate switchboard and employee services. This role works closely with the corporate experience teams (travel, meetings & events, food & beverage), corporate EHS, property management and other departments to ensure a clean, safe, secure and enjoyable office environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES: include the following. Other duties may be assigned.

HQ Office Functionality

  • Hire, train and supervise a team of 3. Manage the team schedule and budget for areas of responsibility. Ensure back-up coverage and assist other departments as needed/requested.
  • Ensure all incoming and outgoing mail and shipments are handled securely for the campus. Own the relationship with USPS, FedEx and UPS for HQ deliveries and shipments, ensuring accurate billing. Assist with warehouse shipping and receiving.
  • Ensure the office environment is presentable and functional for everyone who works at or visits HQ. Oversee the relationships with our vendors, to include the cleaning service, towel service, plants, signage, etc. Work with property management to address building issues, help resolve concerns and make process improvements.
  • Own the HQ office seating chart, employee name plates, furniture ordering and maintenance.Partner with HR to ensure new and current employees have a workspace and badge with the appropriate access privileges. Ensure workstations and offices are clean and badges/credentials for employees are created.
  • In conjunction with Corp Comms, ensure documentation and information about the HQ campus is updated regularly and shared with new/current employees. Address employee queries regarding HQ office services and facility issues and work cross-functionally to find solutions.
  • Be part of the Corporate Experience management team, giving input on and helping to carry out HQ meetings/events. Be directly responsible for execution of meetings and events at HQ to include room set-up and clean-up, special supplies, parking assistance, etc. Be present for events as needed/assigned and task team members appropriately.

HQ Safety and Security

  • Ensure a comprehensive visitor management system is in place to reliably track all visitors and contractors to HQ. Work with reception team to ensure proper visitor management procedures are followed.
  • Partner with the Corporate Safety Team and Property Management to ensure campus security and safety procedures are in place, communicated and followed.
  • Partner with the Corporate Safety Team on incident management, emergency response & general safety as it relates to the HQ Campus.
  • Ensure all health and safety related resources (first aid kits, AEDs, etc.) are stocked and functioning and in compliance with Rite-Hite EHS guidelines.
  • Organize annual drills for HQ employees, and other related EHS activities at HQ as needed.

Corporate Switchboard

Ensure incoming calls to the Corporate Switchboard are handled efficiently and effectively resulting in a good experience for the caller. Work with internal departments and stakeholders to determine the best process for handling employee, customer and community inquiries. Train staff in proper customer focused methods.

Employee Services

  • Manage a process for ordering and inventory of office supplies and other workplace provided items (pens, paper, tissue, etc.). Maintain vendor relationships and oversee invoicing/billing.
  • Manage the corporate sports and events ticket program. Work with key stakeholders and employees to maintain an easy to use and sustainable system resulting in a positive impact on company culture.
  • Manage the company promotional merchandise offerings, vendor relationships and inventory. Handle special requests for merchandise and ensure proper use of logos and colors.

PRINCIPAL ACCOUNTABILITIES

  • Manage a staff and foster collaboration and teamwork. Manage the corporate mailroom and phone answering functions.
  • Manage the office functions for the Rite-Hite World Headquarters campus.
  • Collaborate with the Food & Beverage and Travel, Meeting and Events leaders to deliver a memorable experience for employees, customers and the community when at the HQ Campus.
  • Execute the requirements of meetings and events at HQ
  • Work with the property management team to ensure any concerns about the building are addressed, office supplies are stocked, and everything is in good working order.
  • Work with Corporate EHS team to ensure safety and security practices are carried out at the HQ.
  • Ensure internal and external questions, emails and phone calls at HQ are fielded and directed to the appropriate people.
  • Manage services for employees (office supplies, corporate ticket program and promotional merchandise) with effective processes and communication.

EDUCATION and/or EXPERIENCE

2-4 year degree in office administration and at least 5 years of people and project management experience.

OTHER QUALIFICATIONS

  • Has experience managing a team along with managing projects, programs and responsibilities.
  • Process oriented and able to suggest and implement best practices.
  • Strong written and verbal communication skills to facilitate interaction with a wide variety of people and stakeholders while encouraging adherence to policy and process.
  • Is organized and has the ability to multitask and complete a wide variety of tasks.
  • Strong interpersonal skills that lead to professional and friendly relationships with employees, customers, the community and partners/vendors.
  • Has a high attention to detail to ensure tasks are completed efficiently and effectively.
  • Demonstrates flexibility and creativity by bringing new ideas to the table.
