If so, we 're looking for someone like you to join our Mission Area administrative assistance team at APL.

As the administrative assistant for our Program Area Managers, you will have the opportunity to apply your administrative experience and expertise to a diverse and fast paced program management environment.

As a Program Area Administrative Assistant, you will...

  • Primarily operate independently to prioritize and adjudicate competing needs to solve problems associated with Program Area administration.This includes, but is not limited to, managing daily calendars and information flow to include the flow of external visitors and laboratory executive management. Creating, assessing and promoting timely and quality products produced and distributed from the Program Area office.
  • Ensure efficient administration for the Program Area Manager(s) and the Program team.
  • Assist in planning, coordinating, and supporting meetings and conferences/seminars. Assist with collecting presentation information, ensuring clearances are processed, and coordinating scheduling, reservations, and other logistics. Attend meetings to prepare summaries and notate action items as required, ensuring that action items are completed in a timely manner.
  • Independently initiate and conduct special projects as required and develop solutions to complex administrative problems regarding human resources, security, space management, and budgeting.
  • Develop processes and provide oversight needed to ensure consistent execution, tracking, reporting, and maintenance and to streamline Program Area operations to include customer engagements, internal teams and committees, responses to data calls, procurements, travel, and other operational functions.
  • Partner with Sector administrative staff to form a seamless team across the Asymmetric Operations Sector (AOS), including backfill and sharing of workload. Perform additional duties to assist in operations, infrastructure and logistics activities as needed. Lead and mentor fellow administrative staff as needed.

Qualifications

You meet our minimum qualifications for the job if you...

  • Possess a high school degree or equivalent and five or more years of significant practical administrative experience in a professional environment. A Bachelor 's degree can be substituted for practical administrative experience.
  • Are highly organized and process-oriented, with a strong attention to detail.
  • Can demonstrate the capability to expedite, independently analyze, summarize and make recommendations on process, procedures, and project related activities.
  • Posses strong initiative, motivation, flexibility and interest in working in a team environment.
  • Have excellent verbal and written communications skills.
  • Are willing to work on dynamic projects and have the ability to prioritize numerous concurrent tasks.
  • Possess advanced capabilities with Microsoft Office products (e.g., Excel, Outlook, PowerPoint, Word).
  • Are able to obtain a Top Secret level security clearance. If selected, you will be subject to a government security clearance investigation and must meet the requirements for access to classified information. Eligibility requirements include U.S. citizenship.

The referenced pay range is based on JHU APL's good faith belief at the time of posting. Actual compensation may vary based on factors such as geographic location, work experience, market conditions, education/training and skill level with consideration for internal parity. For salaried employees scheduled to work less than 40 hours per week, annual salary will be prorated based on the number of hours worked. APL may offer bonuses or other forms of compensation per internal policy and/or contractual designation. Additional compensation may be provided in the form of a sign-on bonus, relocation benefits, locality allowance or discretionary payments for exceptional performance. APL provides eligible staff with a comprehensive benefits package including retirement plans, paid time off, medical, dental, vision, life insurance, short-term disability, long-term disability, flexible spending accounts, education assistance, and training and development. $25.35 Hourly

Maximum Rate

$41.45 Hourly
