Job Description:

The Tax Administrator provides administrative support for all members of the tax group. This includes responsibility for all phases of tax return processing and filing. This position is also responsible for the management and maintenance of a number of critical internal controls. This is a key position within the department, which is responsible for all aspects of tax compliance for a large group of accounts including trusts, estates, foundations, individual retirement accounts, investment partnerships, and individual and gift tax returns. This position services clients of NP attorneys and trustees.

Location: Boston

  • Responsible for proper intake of new tax assignments. This includes completion of NP case set-up and their addition to appropriate controls to ensure the timely filing of returns and payment of taxes.
  • Ensure proper exiting of accounts. This includes ensuring that final tax related charges are made prior to the distribution of assets, as well as the updating of internal controls to ensure final tax filings are completed on a timely basis.
  • Responsible for management and maintenance of internal filing controls for client databases. This is an ongoing process throughout the year as assignments are added and removed.
  • Manage all aspects of processing, from assembly of completed returns and updating on controls, through electronic or paper filing of tax return documents. Communicate with internal and external clients on items such as return status and document requests.
  • Maintain information needed to report ongoing milestones and workflow status during the tax season.
  • Responsible for the maintenance of 2,000+ client files.
  • Work with supervisor in the tax billing process. Responsible for requesting pre-bills for 2,000+ accounts per year; requesting finalized bills; coordinating payment for in-house accounts; and mailing of bills to external clients.
  • Participate in internal trainings to increase knowledge of existing and new technologies in order to enhance procedures and workflow.
  • Perform other duties as assigned.
Job Requirements:
  • Associate's degree required. Bachelor's degree with coursework in accounting or finance, or equivalent experience preferred.
  • 5+ years of work in a similar environment with successful experience in a high-volume tax department servicing high net worth clients.
  • Familiarity with all tax compliance documents utilized in the practice and the ability to understand their function. Familiarity with tax law as it relates to this function (primarily filing requirements).
  • Experience with and working knowledge of each of the following at a level sufficient to perform all duties associated with this position: OneSource TrustTax software (Thomson Reuters); CCH Axcess Tax Preparation software; Fi-Tek Trust Accounting software; Microsoft Office applications
  • Strong interpersonal verbal and written communication skills.
  • Ability to work effectively as an individual contributor and as part of a team.
  • Ability to manage multiple assignments within a fast-paced environment and consistently meet deadlines.
  • Superior attention to detail.

In accordance with applicable Federal and State laws, the anticipated annual salary range for this position, depending on location, is as follows: Boston, MA: $62,330 to $89,120

In addition to a standard benefits package, this role may be eligible for additional contingent compensation based on an array of factors, including but not limited to: work performance, geographic location, work experience, education, and qualifications. Because such contingent compensation is not yet calculable or may be zero ($0) in some circumstances, the above-listed salary range(s) are Nixon Peabody's good faith estimate of the annual salary(ies) it reasonably expects to pay for the position at the time of this posting.
