We are actively seeking an Administrative Assistant who will be primarily responsible for supporting the Air Force Institute of Technology School of Engineering and Management (AFIT/EN) directorate at WPAFB, OH.

AFIT's Graduate School of Engineering and Management focuses on high-quality graduate education and research. EN works on the leading edges of the technological disciplines that keep the Air Force dominance in defending the nation. The school serves the Air Force as its graduate institution of choice for engineering, applied sciences, and selected areas of management. The appeal for the school's distinct educational opportunities is widespread and attracts high quality students from the other United States (US) armed services, Government agencies both inside and outside the Department of Defense (DoD), coalition countries, and US citizens (civilians) from across the country.



Responsibilities include, but are not limited to the duties listed below

    Manage and organize resources and personnel needed to efficiently and effectively meeting objectives of each task and explore new approaches as applicable within the performance of these tasks.
  • Conduct research and collect data on program/project information and develop and prepare presentations and briefings for office requesters on the whole range of office activities including, but not limited to studies, analyses, metrics, plans, progress reports, metric status reports, and related topics.
  • Provide administrative support to Government personnel, including the Dean and Associate Dean.
  • Provide support by uploading transcripts, verifying academic records, and ensuring accuracy for members in the MilPDS database.
  • Provide support to in processing students, ensuring network/system access requests are being processed, and work with students and faculty as we address student experience/campus service feedback and requests.
  • Provide auxiliary support for daily operations; handle student and faculty issues with respect to enrollment, add/drop requests, and supporting end-of-quarter activities for grades and graduation.
  • Provide auxiliary support for daily operations; answer admission inquiries, work with the admissions counsellors to address higher headquarters requests and initiatives.
  • Assist with the new employee in-processing system and arrange for official photos and name plates for all assigned individuals.
  • Track suspense requirements in the government-provided system and ensure faculty consulting is updated in the appropriate database.
  • Responsible for overseeing pre-course and post-course reviews between the Dean and Associate Dean.
  • Ensure the school operating instructions are current and up to date.
  • Oversee timecard administration and assist staff and faculty with use of the timecard system.
  • Provide a wide range of other administrative support services to school leadership, staff, and faculty in support of courses and programs managed by the school.
  • Assist with ordering office supplies, gathering requests for supplies, and preparing and itemizing various lists for supplies/equipment to be procured by the Government office.


Education, Requirements and Qualifications

  • Clearance: NACI
  • BA/BS and four (4) years of relevant experience or
  • Eight (8) years of relevant experience
