Duties, Responsibilities & Other

The marketing coordinator will demonstrate a firm understanding of the proposal/procurement process within AEC industry. The marketing coordinator leads various pursuit teams in developing proposals and presentations that position KCI to win projects across our many service lines. This is an opportunity to join a dedicated marketing team that helps secure the sales revenue that enables KCI's continuous growth. A convincing candidate will demonstrate the ability to learn our services, unique value propositions (UVPs), and corporate structure to effectively present the firm's qualifications and win new projects. This individual must be an excellent time manager (capable of leading several pursuits at once) and motivated by growth opportunities. Qualified candidates will have experience working within architecture, engineering, construction, environmental or similar industry.

The marketing coordinator will:

    Read RFQ/P documents thoroughly and prepare proposal checklists that list client submission requirements and identify proposal team action items.
  • Demonstrate experience with a CRM database; Microsoft Dynamics, Unanet (Cosential), or Deltek Vision (preferred).
  • Demonstrate experience with Adobe InDesign. Experience with additional programs, including Adobe Photoshop and Illustrator, is preferred.
  • Understand the SF 330 / Architect-Engineer Qualifications process (experience preferred).
  • Lead pursuit teams on kickoff calls to develop winning strategies, assign team responsibilities, and establish deadlines.
  • Prepare presentations and coach technical teams in preparation for client interviews.
  • Track future project leads and update information regularly in the CRM database.
  • Enter and update personnel and project information in the CRM database to maintain accurate records.
  • Work with technical project managers and marketing content/support team to develop comprehensive materials highlighting KCI's staff and capabilities.
  • Conduct background research and gather/tailor supporting materials.
  • Work with the marketing content team to develop high-impact graphics for proposals and presentations.
  • Provide quality control (QC) review of marketing peer proposals.
  • Print, assemble, and ship proposals and/or prepare electronic submission files as needed.
  • Coordinate with teaming partners and respond to external requests for proposal information.
  • DOT proposal experience is highly preferred.


Qualifications

  • Bachelor's degree in marketing, communications, journalism, or related field preferred.
  • Pre-employment drug screening is a condition of employment. Background and motor vehicle checks may be required based upon position.


Performance Expectations

  • Complete Annual Individual Training Program
  • Train adequate backup personnel to support your role in your absence
  • Attend bi-weekly marketing meetings
  • Attend monthly town hall meetings
  • Comply with all KCI policies and procedures
  • Coordinate with other Marketing Coordinators and technical staff as required
  • Monitor and ensure adherence to ISO requirements
  • Complete other duties as required/assigned
  • Enter and update sales leads in marketing database
  • Operate within specified (corporate or project) budget parameters
  • Assemble final marketing documents into attractive, organized, compelling, and high-quality presentations
  • Assist with tracking and maintaining required client pre-qualifications
  • Collect and integrate materials from technical staff as required
  • Collect, develop, write and edit project job descriptions, resumes and other content
  • Coordinate and ensure fulfillment of timely print orders as required
  • Coordinate project proposal process
  • Gather and review graphics as required
  • Maintain and regularly update marketing databases
  • Monitor and maintain quality and consistency of KCI's image in proposals and collateral material
  • Prepare, assemble, review and edit draft marketing materials for proposal efforts, qualification packages, client meetings and special events
