Summary:

The Payroll Specialist within the Hill Mechanical Corporation ("HMC") division of Hill Group ("Hill") will be responsible for assisting our Payroll Manager in processing payroll across a multi-state, multi-union company. The Payroll Specialist will become familiar with all collective bargaining agreements (CBAs), and have an understanding of federal, state, local and union payroll laws and regulations.

Key Responsibilities:




  • Review payroll data for accuracy, focusing on multi-state and union-specific issues.
  • Collaborate with the Payroll Manager to ensure payroll is processed accurately and on time.
  • Assist payroll manager with processing of weekly/bimonthly payroll for approximately 1,100 employees across five legal entities.
  • Ensure compliance with multi-state and local payroll laws, union agreements, and company policies.
  • Assist in answering payroll questions from employees in a timely and accurate manner.
  • Setup new employees in the system & process terminations and layoff checks.
  • Assist in the preparation and filing of payroll-related reports, including taxes, deductions, union reporting, and garnishments.
  • Prepare and submit monthly worker's compensation/general liability report to insurance carrier and prepare annual worker's compensation/general liability audit reconciliation.
  • Address payroll discrepancies and resolve employee payroll inquiries promptly.
  • Stay updated on federal, state, and local payroll regulations and ensure all processes are in compliance.
  • Assist in the preparation and uploading of certified payroll reports.
  • Review new job setup with respect to payroll compliance.

Experience and Qualifications:




  • High school diploma or general education degree (GED) required, Associates degree preferred
  • 2 years minimum experience, union environment preferred.
  • Proficiency in all Microsoft Office Suite (Word, Excel, Outlook, Project, and PowerPoint).
  • Proven experience as a Payroll Specialist or in a similar payroll processing role, preferably in the construction or union specific industries.
  • Experience with multi-state payroll and union payroll processing.


  • Familiarity with payroll software; experience with COINS ERP system is a plus.
  • Strong knowledge of federal, state, and local payroll regulations, including multi-state payroll tax laws and compliance with CBAs.
  • Excellent organizational skills with the ability to handle multiple payroll entities and deadlines.
  • Attention to detail and problem-solving abilities.
  • Strong communication and collaboration skills, with a customer service mindset.
