Position Description
Job Title: Service Writer / Account Administrator
Reports To: Account Manager for Genentech Operations
Scope: This position is responsible for providing support services for the Operations Team and Shop personnel.
Pay Range: $28 to $30 per hour
This information reflects the proposed base salary range for this position based on available data. Minimums
and maximums may vary based on location. Individual pay is determined by additional factors including job
related skills, experience, applicable education or training and other relevant factors.
Essential Duties and Responsibilities:
- Handle the opening and closing of work orders, start to finish
- Assist in production control and flow, including quality control
- Provide support for customer reporting including producing daily, weekly, monthly, and periodic data reporting
- Aid the Operations Manager in varied tasks including, purchasing and maintaining office cleanliness and order
- Miscellaneous office/clerical tasks, including scanning and filing
- Greets, establishes, and maintains a positive rapport with customers and potential customers
- Develops a keen understanding of all ABC products and services. Assists customers in determining needs and promotes ABC products accordingly
- Estimates cost of repair and prepares itemized service order, listing costs of parts and labor
- Maintains good communication with customer and follows up after work is completed to ensure satisfaction
- Maintain good working knowledge of local, State, and Federal regulations applicable to our department
- Understands customer's needs and is committed to exceed customer expectations every day
- Ensure Customer Down List accuracy and post twice a day at 2:30pm and 5:30pm
- Collect, process, analyze and assemble meaningful and accurate data to present to customers in a clear and intuitive manner using tools such PowerPoint
- Monitors "Work-in-Process" regularly and problem solves all open jobs to ensure all completed and closeable work orders are closed immediately
- Works closely with the shop foreman, Account Manager and Operation Manager in immediately recognizing and communicating jobs with excessive tech time or other excessive cost
- Prepare for Quarterly Business Reviews (QBR) by reviewing PM compliance and out-of-service issues
- Conduct work order investigations as needed
- Research and generate reports from JDE for analysis upon request
- Monitor reports on overdue PMs and upcoming PMs
- Other duties and responsibilities as assigned
Qualifications:
- 2-4 years in an administrative role, preferably in an automotive or production environment
- High School Diploma or equivalent
- Excellent verbal and written communication skills
- Excellent computer skills and proficiency in Microsoft Word, Excel, Outlook, and web-based programs
- Database experience, preferably Oracle, is highly desired but not required
- Experience in using office equipment, scanner, copier, fax, etc.
- Customer service background

- Strong communication skills and the ability to communicate effectively with all levels within the company, its customers, and vendors

- Ability to speak, read and comprehend the English language
- Ability to speak, read and comprehend the Cantonese or Mandrin language a plus
Physical Demands:
- Ability to lift, push and pull at least 10 pounds
- Must be able to sit for long periods of time
- Ability to bend, stoop, squat and lift infrequently
