Job Summary: This position requires a highly organized and proactive executive assistant to provide administrative support. The ideal candidate must thrive in a fast-paced environment, possess excellent communication skills, be flexible with time commitment and have a keen attention to detail. Responsibilities
- Efficiently manage calendars, appointments, and travel arrangements.
- Coordinate and organize meetings, conferences, and events, including logistics and materials preparation.
- Maintain confidential files, records, and databases with utmost accuracy and discretion.
- Build and maintain positive relationships with internal staff, clients, partners, and stakeholders.
- Act as a liaison between executives and internal/external parties, ensuring effective communication.
- Support divisional/multi-divisional reporting and communication.
- Assist with special projects, research, and analysis as assigned.
Essential Functions:
- Proven experience as an executive assistant or in a similar administrative role.
- Exceptional organizational and time management skills with the ability to multitask effectively.
- Strong written and verbal communication skills.
- Proficiency in using productivity software, like Microsoft Office Suite.
- Exceptional research and project management skills.
- Demonstrated professionalism, confidentiality, and discretion in handling sensitive information.
- Detail-oriented with the ability to deliver accurate work within established deadlines.
- Excellent interpersonal skills and the ability to build relationships at all levels.
- Proactive and self-motivated with a problem-solving mindset.
- Flexibility and adaptability to meet changing priorities and work demands.
- Knowledge of our industry/sector is a plus.
- Duties may be modified or assigned at any time to meet the needs of the business
Education & Experience:
- Bachelor's degree is preferred but will consider an associate's degree with relevant experience.
Job Skills/Abilities:
- Proficient with Microsoft Office (PowerPoint, Word, Excel, etc:
- Comprehensive knowledge of Excel functions, formulas, data manipulation techniques, and charting features.
- Data analysis skills:
- Ability to identify patterns, trends, and correlations within datasets.
- Visual communication:
- Understanding of design principles to create visually appealing and informative charts.
- Attention to detail:
- Ensuring accuracy and consistency in data presentation.
- Problem-solving:
- Identifying and resolving data inconsistencies or chart interpretation issues.
- Ability to handle multiple projects and daily activities.
- Must be organized, resourceful, self-motivated and able to work independently.
