Hiring Range

The University of California, Merced is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The full salary range for this position is $86,300 - $161,300. The budgeted salary or hourly range that the University reasonably expects to pay for this position is $98,500 - $108,000.

Job Closing Date

This position will be located on campus. Although the incumbent may enjoy 1 - 2 days per week where they may work from home, business needs will always be a priority and incumbent must balance needs with the realities of the job (such as evening and weekend events).

About the Job

The Deputy Director of the UC Merced Office of Undergraduate Admission serves as the chief operating officer for Undergraduate Admission, acting on behalf of the Director in their absence. This role is responsible for managing the day-to-day operations of the unit, overseeing functions such as Evaluations and Operations, Admissions Systems, the Welcome Center, and on-campus admissions events. The Deputy Director collaborates with the Director on budget matters and manages discrete admissions and recruitment programs, formulating policies and procedures, and developing long and short-term organizational goals. Additionally, this role oversees all admissions evaluation, processing, articulation, degree progress audits, and information systems operations, ensuring compliance with policies and procedures for the processing and evaluation of freshmen and transfer applicants at UC Merced.

The Deputy Director recommends policy and procedural changes to enhance the undergraduate admissions process, recruitment, and yield programs, including staff training to ensure a consistent standard of quality. This position participates in university and systemwide committees, representing UC Merced and Undergraduate Admission to external entities. The Deputy Director is integral in establishing comprehensive admissions guidelines, procedures, and policies, as well as student information systems technology. This role directs the design, development, implementation, and evaluation of computerized systems and data processing programs, efficiently utilizing new technologies and developing interfaces with other informational systems and equipment, ensuring integrity in the application process.

The Deputy Director will maintain an application/student database and, in conjunction with communications and other admissions staff, provide up-to-date admissions information to students, parents, counselors, faculty, and the public. Additionally, the Deputy Director is responsible for admissions personnel management and carries out all duties to achieve the admission goals of enrolling academically qualified, diverse students at UC Merced, while establishing and maintaining appropriate reporting processes. This role also oversees the Welcome Center/Campus Tour program and manages on-campus admissions events to enhance the prospective student experience.

Key Responsibilities:

A. Member of Office of Admission mgmt. team responsible for setting unit priorities, operational policies/procedures, & facilitating coordination, cooperation, & communication among all segments of the unit. Analyze potential goals in terms of emerging needs & methodologies: service impact; staffing & fiscal resources; critical resources; prog. adjustments or policy modifications. Leads a number of strategic planning initiatives including the following: (A1) Direct the design, development, and implementation of admissions information systems and data processing programs, ensuring efficient use of new technologies and system interfaces. Maintain the admissions/student database, providing accurate and up-to-date information to stakeholders. (A2) Manages all admissions evaluation, processing, articulation & degree progress audits and information systems operations and ensures compliance with all policies and procedures related to the processing and evaluation of freshmen and transfer applicants at UC Merced. (A3) Provides leadership in the development/implementation of uniform & effective on-campus recruitment & yield activities for freshman/transfer students, & counselor events. (A4) Directs and supervises staff who oversee the campus welcome center operations. Leads efforts related to campus tours increase the number of prospective student visitors and ensuring a quality experience for students and guests. (A5) Directs/Supervises staff who manage customer service functions. Leads efforts related to serving prospective students, families, & counselors that visit, email, or contact Admissions, ensuring staff/students are providing a high level of customer service. (A6) Data Reporting & Analysis: Uses data effectively to assess both opportunities & effectiveness of current recruitment/admission/enrollment efforts. Evaluate all Admissions services & programs, analyze usage & performance measures. Manage staff responsible for data reporting & analysis. (A7) Provides leadership/direction in human resources (HR) including the following: a. Keeps abreast w/changes in policies, practices/trends that affect operation/mission of office. Ensures compliance by all supervisors/mgrs. w/ Univ., campus & departmental policies governing HR actions, including performance appraisal process. Supervises HR Admin FTE & have signature authority for all HR actions. Oversees & participates in staff selection/training/development/supervision, evaluation & recognition. Provides leadership & support for staff development/training, including identifying professional development activities that will enhance the skills of staff. A7. Together, w/ Director provides leadership/direction in budget. Shares mgmt. responsibility w/ Dir. for a $5M budget. In consultation w/ Dir., oversees allocated expenditures & makes necessary adj. to effect efficient use of funds.

B. Evaluation and Admission As a member of the senior Admissions management team and in collaboration with senior staff: B1. Participates in the design and implementation of staff training, development of reader materials and evaluation processes. B2. Provides leadership to the Admissions Evaluation that updates materials, selects sample/norming applications, and trains and monitors Comprehensive Review readers of freshman and transfer applicants. B3. Participates in primary and secondary review process of freshman applicants. B4. Participates in the annual review, update, and amendment of administrative procedures and processes for freshman applicants, including the admission contracts and the appeals, Admissions by Exception and waitlist processes. Review and recommend action of individual applicant appeals and application/admission cancellations. B5. Reviews and recommends actions regarding exceptions to the undergraduate admissions deadlines, eligibility, or conditions of admission. B6. Represents Admissions with UC Merced deans and department chairs and advisors. B7. Participates with the Director in University system-wide meetings as needed. B8. Represents the Director as needed at meetings such as the campus Admissions and Financial Aid Committee (AFAC) and the system-wide Board of Admissions and Relations with Schools (BOARS). B9. Represents Admissions and UC Merced in meetings with other UC and OP staff regarding admission and selection issues. B10. In collaboration with the Director, and in conjunction with the Associate Director of Evaluation provide leadership and support for the transfer admission function, as needed. including: Lower Division Transfer Process, Transfer Admissions Guarantee (TAG), UC Transfer Pathways.

C. Liaison duties include the following: (a) Serves as liaison between Admissions and UC Merced Enrollment Marketing and Communications team to ensure timely communication and consolidation of feedback on new and ongoing marketing efforts (publications, CRM communication, email campaigns, etc.). (C1) Represent the University of California, UC Merced, Enrollment Management and/or Admissions at public and campus events. Participates in recruitment and yield activities, as needed. Represent UCLA at professional associations and conferences. (C3) Establish and maintain positive working relationships with UC Merced, campus centers (Bright Success Center), and student organizations. (C4) On behalf of the Director, handle non-routine situations.

D. As a member of the Enrollment Management team: D1. Works with the Director and other UC Merced administrators to achieve the enrollment targets of new freshman and transfer students. D2. Advises the Director and management team on activities and services that maintain strong and beneficial relationships with high schools, community colleges, community-based organizations, UC Merced schools and colleges, academic and student services departments and programs. D3. In collaboration with the Director establish, convene, and oversee committees to provide UC Merced with necessary information, advice, and/or consultation. Solicit advice regarding office policies and procedures, departmental goals, programs, resource issues, and services. D4. In conjunction with the Director and Associate Directors of other UC admissions, recruitment or outreach offices, establish and oversee standards, processes and protocols regarding system-wide policies and initiatives. D5. Provides assistance to various campus offices concerning University policies and procedures as they may affect admission, enrollment, and related functions. Recommend policy changes.

Qualifications

  • Bachelor's degree in related field from an accredited institution; and
  • 5 Years of Experience in a College Admissions Leadership Position (required.
  • Demonstrated experience in managing a complex office with multiple and simultaneous tasks and responsibilities.
  • Demonstrated management and supervisory skills working with professional and support staff to implement and manage programs related to the functions of the office.
  • Demonstrated management experience in college or university admissions and recruitment. Typically, minimum five years of experience required.
  • Demonstrated experience in conceptualizing, planning, and implementing admissions, recruitment, evaluation, technical and yield activities.
  • Demonstrated experience in budget projections, resource management, report preparation and presentation.
  • Demonstrated human resource leadership skills including the ability to effectively motivate staff members in the accomplishment of the goals and objectives of the unit.
  • Demonstrated knowledge of customer service, as it relates to prospective students, families, counselors and alumni who visit or seek information or services from the Office of Undergraduate Admission.
  • Knowledge of the University of California, Student Affairs policies and regulations.
  • Demonstrated ability to relate and work well with diverse faculty, administrators, staff, students, families and the general public.
  • Demonstrated effective interpersonal skills, and excellent public speaking and writing skills.
  • Demonstrated experience in oral presentations to large and small audiences: potential applicants and enrollees, families, colleagues, professional organizations.
  • Demonstrated analytical skills to evaluate programs and prepare written analytical reports.
  • Proven skills in statistics, quantitative analysis, research methodology, assessment and evaluation.
  • Advanced knowledge of education theory, policy, access and opportunities as it pertains to national, state, and California admissions, recruitment and enrollment.
  • Significant knowledge of admission processes, data analysis procedures, and systems necessary for working with technical staff to develop effective data management and evaluation systems.
  • Demonstrated sensitivity to those educational issues affecting underrepresented students and families.
  • Demonstrated experience establishing and accomplishing short- and long-term goals and objectives.
  • Demonstrated ability to work independently and make independent decisions.
  • Demonstrated experience with staff training and development.
