The College of Computing was established in 1990 as the first such College at a public university and the second in the United States. Since that time, the college has grown into a world-class

Job Summary

Coordinate and provide professional and administrative support for targeted programs and/or projects and unit initiatives. This position will interact on a regular basis with: Faculty and staff. This position typically will advise and counsel: Faculty and staff. This position will supervise: NA.

Responsibilities

Job Duty 1 -
Plan, execute and provide assistance for meeting and event logistics and scheduling

Job Duty 2 -
Establish schedules, oversee arrangements and provide logistics support for targeted programs and/or projects and unit initiatives

Job Duty 3 -
Evaluate, assess and report on the feasibility and sustainability of potential programs, projects and initiatives

Job Duty 4 -
Provide necessary support related to the identification and execution of adopted unit programs/projects and other unit initiatives

Job Duty 5 -
Develop, arrange/coordinate meetings and project materials for distribution, as necessary

Job Duty 6 -
Compile, organize and analyze data for use in reports for targeted programs/projects and other unit initiatives

Job Duty 7 -
Monitor and update appropriate stakeholders of progress/milestones for program/project objectives

Job Duty 8 -
Perform other duties as assigned

Responsibilities

Purchasing and Finance

  • Purchase swag and supplies not related to specific events (such as OMSCS T-shirts), including soliciting quotes, creating and submitting purchase orders, tracking shipments and coordinating delivery.
  • Assist OMSCS team with spend authorizations, expense reports, reimbursements, and procurement.

Event Planning

Events include, but are not limited to, the annual Online Master of Science in Computer Science (OMSCS) Conference and the Affordable Degrees at Scale Conference and include the following duties:

  • Reserve catering, including soliciting quotes and finalizing menus.
  • Reserve spaces/venues, on or off campus, including assessing multiple options.
  • Purchase swag and supplies, including soliciting quotes, creating and submitting purchase orders, tracking shipments, and coordinating delivery.
  • Reserve custodial services.
  • Schedule Georgia Tech Police Department (GTPD) presence.
  • Acquire parking validations.
  • Lead setup and tear-down activities
  • Coordinate with all services on the day of the event.
  • Submit expenses for payment or reimbursement.
  • Assist the College of Computing's Project Support Organization (PSO) with their efforts if available, such as the Fall and Spring Dean's New Alumni Celebration.

Communications

  • Manage the program's social media accounts (Facebook, Twitter, Instagram, LinkedIn) and set up and manage accounts on new platforms.
  • Create periodic communications in MailChimp, such as the weekly OMSCS Digest.
  • Create high-quality graphics and fliers for OMSCS events and initiatives and ensure alignment of these deliverables with the Georgia Tech Brand Guide.
  • Maintain OMSCS mailing lists.

Other Duties

  • Manage access to various platforms (such as the OMSCS TA Slack workspace).
  • Assist with training and compliance efforts as needed.
  • Perform other duties as assigned.
Required Qualifications

Educational Requirements
Technical Diploma, Associate's Degree or equivalent combination of education and experience

Required Experience
Three to five years job related experience

Preferred Qualifications

The ideal candidate will have the following additional qualifications:

  • Bachelor's Degree or equivalent combination of education and experience.
  • Experience with purchasing/expense processes, especially in an academic setting.
  • Event planning experience.
  • Expertise with graphic design/photo editing software, especially the Adobe suite.
  • Expertise with creating and sending campaigns using Mailchimp.
  • Experience with running social media accounts, particularly on Facebook, Twitter/X, Instagram, and LinkedIn.
  • Strong attention to detail.
  • Strong written communication skills.
Proposed Salary

Pay Information:
Hourly Range: $23.02 - $31.25
FLSA Status: Non-Exempt

Schedule:
Monday - Friday; Hybrid

Note: This hybrid role at times may require reporting to the Georgia Tech campus approximately once per week. The job location may be more accessible to local candidates living in or near the Atlanta area.
